Most of all, you take pride in driving efficiency, building scalable PMO processes, and acting as the operational engine for the Delivery team.
Role Overview
Reporting to the VP Infrastructure and Technology Operations, the Project Operations Coordinator is the operational backbone of DataStealth’s Delivery department. This role focuses entirely on the ecosystem in which our projects happen. You will own PMO standardization, administer project management tools (Jira), drive capacity planning and resourcing across implementation and support teams, and deliver portfolio-level reporting. You will act as the key liaison between project managers, engineers, and leadership to ensure our delivery machine is running at peak efficiency.
Duties and Responsibilities
- PMO & Process Governance: Standardize, document, and maintain project management methodologies, processes, and templates across the Delivery department.
- Tool Administration: Act as the primary owner and maintainer for project management tools (Jira), ensuring accurate workflows, data hygiene, and optimized boards for the delivery teams.
- Resource Allocation & Capacity Planning: Assist with project resourcing across both implementation and support teams. Track team utilization, resolve scheduling conflicts, and work with management to ensure resource requirements are communicated and kept on track.
- Portfolio Reporting: Provide the VP Infrastructure and Technology Operations with precise, timely departmental reporting, including portfolio health dashboards, and project status summaries.
- Process Optimization: Identify bottlenecks and improve the efficiency of existing processes to enhance DataStealth’s delivery capacity, reduce costs, and eliminate errors.
- Project Operations Support: Support Technical Account Managers (TAMs) and Technical Project Managers (TPMs) by analyzing project success, applying lessons learned, and sharing PMO best practices.
- Cross-Functional Alignment: Partner with cross-functional teams to improve the adoption and use of internal tools and systems, acting as the voice of the Delivery department in internal communications.
Qualifications
- Project Management Graduate Certificate program (college) or a Bachelor of Commerce (university).
- 5+ years of relevant work experience, including at least 2 years in a PMO, Project Operations, or resource coordination role.
- Strong proficiency with and or power-user of Jira and other enterprise project management tools.
- Prior experience in an IT, SaaS, or cybersecurity environment supporting software delivery to enterprise customers.
- Excellent planning, capacity management, and time management skills.
- Exceptional interpersonal skills, with the ability to work closely with project teams, engineers, and senior leadership from across the company.
- Proven ability to handle confidential information with discretion and impeccable integrity.
- Excellent written and verbal communication and documentation skills.
- Driven, highly motivated, and results-oriented, with the courage and willingness to follow up proactively and hold teams accountable to PMO standards.
- Ability to manage competing priorities and demonstrate the highest level of service and response.
