SUMMARY:

Works under general supervision and provides complex administrative and operational support to the Office of the Dean in the College of Humanities, Social Sciences, and Arts. This position manages and coordinates administrative processes, interprets and applies institutional policies, and provides operational continuity across the College.

The Administrative Associate III is assigned primary responsibilities within the Office of the Dean and is deployed, as needed, to support administrative operations across CHSSA units, including Literature and Languages, History and Liberal Studies, Social Sciences, Art, Theatre, Music, Galleries and Collections, and the Legal Commons. The role also supports college-wide consistency by training administrative staff and contributing to quality assurance of administrative processes.

DUTIES & RESPONSIBILITIES:

  • Performs advanced word processing, reporting, presentation, and data management activities; composes, edits, and proofreads correspondence, reports, and official communications.
  • Researches, analyzes, and supports administrative processes, programs, and projects across the College.
  • Applies, interprets, and communicates university and system policies and procedures.
  • Maintains fiscal, administrative, and academic records; verifies and processes documentation.
  • Assists with budget tracking, purchasing, reconciliation, and financial processes.
  • Coordinates meetings, appointments, travel, and events.
  • Provides administrative support across CHSSA units as needed.
  • Supports operations related to Galleries and Collections and the Legal Commons.
  • Trains administrative staff and contributes to process standardization and quality assurance.
  • Maintains office systems, supplies, and equipment.
  • May coordinate activities for student workers or support staff.
  • Serves as liaison between the Office of the Dean and units.
  • May assist with personnel and onboarding processes.
  • Occasional travel required; valid driver’s license required.
  • Performs other duties as assigned.

MINIMUM REQUIREMENTS:

  • Education and Experience: High school diploma or equivalent combination of education and experience. Three years of related administrative experience; strong communication, organizational, and problem-solving skills; ability to interpret policies.
  • Knowledge / Skills / Ability to: Strong communication, organizational, and problem-solving skills; ability to interpret policies. Ability to manage multiple priorities, work independently and collaboratively, and maintain confidentiality.
  • Licensing/Professional Certifications: Valid driver’s license
  • Physical Requirements: Ability to remain in a stationary position (sitting or standing) for extended periods during the workday. Ability to move about the office to access files, office equipment, and meeting spaces. Ability to occasionally lift and/or move items such as files, office supplies, or packages.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Bachelor’s degree preferred; higher education experience; familiarity with university systems; experience in training or process improvement.

SUPERVISION OF OTHERS:

May coordinate student workers or support staff.
