The Opportunity

This is an opportunity to step into a trusted, highly visible Executive Assistant role at the centre of the CEO Office. As Executive Assistant, CEO Office, you’ll provide high‑quality executive and operational support across the CEO Office, while also supporting the Chief Corporate Affairs Officer. This is a shared role supporting both the CEO Office and Corporate Affairs. It plays an important role in keeping senior leaders focused, organised and well supported.

You’ll work closely with the Director, CEO Office and the Senior Executive Assistant, CEO, providing day‑to‑day administrative support and acting as backup support to the CEO when required. The role spans diary coordination, meeting preparation, travel, expenses, document management and committee support — all within a fast‑paced, high‑trust environment.

Please note: this role requires attendance in the office five days per week.

Key Responsibilities
 

As Executive Assistant, CEO Office, you will:

  • Provide executive support to the CEO as required, ensuring continuity of service

  • Assist with diary management, meetings, correspondence, briefings, travel and expense reconciliation

  • Build and maintain effective relationships with senior internal and external stakeholders across government and industry

  • Provide executive and administrative support including diary coordination, meetings, correspondence, travel and expenses

  • Assist with document preparation and briefing materials to support Corporate Affairs priorities

  • Provide executive and administrative support to help deliver priorities across the CEO Office

  • Coordinate travel arrangements, itineraries and supporting documentation in line with agency policies

  • Use digital and AI‑enabled tools to support efficient workflows, information sharing and process improvement

  • Work collaboratively with the CEO Office team to support smooth day‑to‑day operations

  • Assist with preparing, formatting, collating and distributing agendas, papers and minutes

  • Support accurate record keeping, information flow and follow‑up actions to ensure effective governance processes

About You

We’re looking for a capable, organised and professional Executive Assistant who is comfortable working in a senior, fast‑moving environment.

You’ll bring sound judgement, a high level of discretion and a calm, responsive approach to supporting leaders. You’re confident managing multiple priorities, proactive in anticipating needs, and known for your attention to detail and reliability.
You enjoy collaborating with others, value continuous learning, and take pride in delivering high‑quality work.


To be successful in this role, you will bring:

  • Experience providing executive or administrative support to senior leaders in a complex organisation

  • Strong diary management, meeting coordination and organisational skills

  • Confidence using Microsoft Outlook and collaboration tools such as Microsoft 365 (Word, Excel, PowerPoint, Teams, Copilot)

  •  Experience with systems such as Workday and document management tools (Objective and Diligent experience is well regarded)

  •  The ability to manage competing priorities and adapt in a fast‑changing environment

  • A professional, credible communication style and strong interpersonal skills

  • Sound judgement, discretion and respect for confidentiality

  • Formal qualifications in business administration or related fields are welcome but not essential.
