Expected salary range of $87,300 to $97,000, varies based on experience, along with comprehensive benefits package that includes bonus and 401(k). Primary Purpose of Position Provides a wide range of highly responsible administrative services to support the Executive, Senior Management team, and the Business Unit. Utilizes excellent organizational skills and takes initiative to perform diverse duties and functions that require confidentiality, discretion, attention to detail, and prioritization. Communicates and interfaces with others efficiently and professionally. Relies on experience and judgment to plan and accomplish goals, with the ability to proactively anticipate the needs of the executive. May direct and lead the work of others. Primary Duties and Accountabilities Oversee the executive's intricate schedule by arranging appointments, meetings, and conferences while also managing and prioritizing responses to phone calls, emails, and inquiries. Arrange domestic and international travel, including flight bookings, hotel accommodations, transportation etc. Organize and coordinate meetings, including preparing meeting agendas, taking minutes, and distributing meeting materials, setting up technology, videoconferencing, etc. Prepare and edit documents, reports, presentations, and correspondence for the executive, providing support on special projects and initiatives, including conducting research, preparing presentations, and coordinating project timelines. Manage and oversee the executive's budget, expenses, and invoices. Organize and facilitate the executive's events, such as staff meetings, retreats, and workshops. Provide administrative support to the executive's team and other departments as needed. Ensure the confidentiality and security of information and data, maintaining the highest level of professionalism and discretion. Collaborate with other administrative assistants, department heads, and support staff to ensure efficient operations and coordination across the organization. Anticipate and resolve any issues or problems that may arise for the executive. Reviews timesheets and payroll reports, and enters data into the payroll system. Ensure compliance with company policies related to expense reporting and approval process, submit expenses on behalf of the executive, and act as a delegate in reviewing and approving expense reports for the department. Maintain external contacts and relationships on behalf of the executive. Minimum Qualifications High school diploma or equivalent 7-years of administrative experience, including 5 years supporting an Executive or other relevant experience Proficient in Microsoft Office products, internet searches, database systems and other relevant software and tools Excellent written and verbal communication skills Strong attention to detail, accuracy and follow through Ability to work independently, collaboratively with minimal supervision Flexibility and adaptability to frequently changing priorities and demands while maintaining professionalism, discretion, and integrity Demonstrated ability to build consensus, establish trust and communicate effectively Demonstrated ability to identify and implement process enhancements and efficiencies Strong organizational, time management, and problem-solving skills Demonstrated knowledge of corporate and business unit policies procedures and practices Demonstrated administrative, organizing and planning skills Demonstrated business acumen, customer awareness and ability to create value Preferred Qualifications Concur or travel/expense software, eTime/timekeeping software, AS9, Oracle, SailPoint or service ticket software Proven project management experience and organizational skills Primary Purpose of Position Provides a wide range of highly responsible administrative services to support the Executive, Senior Management team, and the Business Unit.
