SmartDev is transitioning from a traditional software outsourcing model to an AI‑enabled, solution‑driven technology partner across APAC, the Middle East, and Europe. To support this shift, sales must operate based on accurate data, disciplined processes, and factual pipeline visibility. Although SmartDev already uses HubSpot, it is not yet functioning as a true operating system for sales. This role exists to take ownership of HubSpot operations, ensuring it reflects sales reality and supports reliable reporting and decision-making.
The Sales Operations Specialist is responsible for controlling how sales actually operate through CRM governance, process enforcement, and analytical insight. This role goes beyond managing a tool or producing reports—it requires enforcing CRM discipline across BDMs, SDRs, and Account Managers, challenging incorrect or misleading data, and ensuring pipeline accuracy. The role demands strong ownership, analytical thinking, and the confidence to question inconsistencies and drive accountability. It is not a data entry or sales support role and will not suit candidates who prefer to avoid conflict or only follow instructions. This role is designed for someone who wants to work hands-on with sales data and processes, and contribute to improving how the organization operates.
1. CRM Ownership
- Own HubSpot end‑to‑end, including Pipelines, stages, objects, fields, workflows, and dashboards
- Ensure CRM data is clean, structured, consistent, and usable
- Define and maintain CRM rules and data standards
2. Process Enforcement (Most Critical Responsibility)
- Ensure BDMs, SDRs, and Account Managers strictly follow CRM processes
- Identify and correct: Incorrect data entries; Inflated or misleading pipeline information; Process deviations
- Actively challenge inconsistencies and enforce discipline
- Keep CRM data aligned with actual sales reality
3. Pipeline & Performance Management
- Monitor pipeline health and forecast accuracy
- Track individual and team sales performance
- Identify early risks, gaps, and slippage in deals or targets
- Ensure leadership has a realistic, data‑based view of revenue
4. Sales Insight & Continuous Improvement
- Analyze Funnel performance; Conversion rates; Sales cycle length
- Identify bottlenecks and inefficiencies across the sales process
- Provide clear, actionable insights and recommendations to leadership
- Support strategic decisions with evidence, not opinions
5. Sales Operations & Cross‑Team Alignment
- Support KPI tracking and commission validation
- Ensure strong data alignment between Sales, Marketing, and Delivery
- Standardize, document, and continuously improve sales processes
- Support operational scalability as the company grows internationally

- Have at least 4+ years of experience in Sales Operations, CRM Management, Business Analyst, or Data Analyst roles
- Good working proficiency in English (written and verbal) and ability to work effectively with international stakeholders
- Hands‑on experience with HubSpot or comparable CRM systems
- Strong analytical mindset with structured problem‑solving skills
- Solid understanding of sales workflows (SDR, BDM, AM)
- Ability to challenge inconsistencies and enforce process discipline
- Comfortable working with ambiguity and driving clarity
