Job description

Overview Provide comprehensive, high‑level executive administrative support to three U.S. Foods Branco executives, delivering proactive, business‑focused assistance with a high degree of professionalism, organization, timeliness, and confidentiality. This role requires managing complex calendars, coordinating meetings and travel, preparing materials, and serving as a trusted partner to senior leaders to ensure seamless day‑to‑day operations. The ideal candidate brings extensive experience supporting multiple senior executives simultaneously, demonstrates exceptional judgment and prioritization skills, and is skilled at anticipating needs in a fast‑paced, dynamic environment. Success in this role requires strong communication skills, attention to detail, the ability to manage competing priorities with minimal supervision, and a commitment to maintaining discretion while supporting critical business initiatives. Responsibilities Coordinate international travel arrangements, including itineraries, airfare, ground transportation, hotel accommodations, and car rentals. Prepare and submit expense reports accurately and on time, ensuring all documentation complies with established control and audit guidelines. Monitor and follow up on emails and phone calls to ensure timely responses and closure. Prepare and manage AMEX reports in accordance with company policies. Manage executives’ calendars and agendas, scheduling meetings and sessions, making necessary adjustments, reviewing priorities, and proactively resolving scheduling conflicts to keep executives on track with daily commitments. Schedule and coordinate monthly Team Connect sessions, including organizing content, presentations, and supporting materials. Support and prepare special presentations for executives’ agendas, including PowerPoint slides, career discussions, and leadership meetings. Maintain calendars and schedules for onsite and offsite meetings and events. Maintain up‑to‑date organization charts and contact lists. Ensure local invoices are processed and paid accurately and on time, with appropriate approvals, using systems such as myBuy, Concur, and AMEX. Plan, coordinate, and manage a variety of events-including offsite meetings, recognition events, and planning sessions. Provide administrative support to Finance Leadership, including creating purchase orders for vendors, following up on accounts receivable, and monitoring workflow approvals. Support Administrative Services to ensure efficient and effective office operations. Maintain the highest levels of integrity, professionalism, and discretion when handling confidential information and materials. Support and contribute to special projects as assigned. Compensation and Benefits: The expected compensation range for this position is between $54,700 - $82,050. Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary.
