Job description
New York City Emergency Management (NYCEM) coordinates the City’s emergency planning, preparedness, response, and recovery operations. The agency includes planners, responders, logisticians, and support staff working to enhance the City’s ability to manage all hazards.
The Logistics division works to increase the City’s ability to support emergency operations with a sustained and well- coordinated supply chain of resources. It is comprised of the Humanitarian Logistics and the Supply Chain Logistics units, and works to ensure that the right personnel, equipment, supplies, and support are in the right place, at the right time, and in the right quantities, across all response and recovery operations.
NYCEM is the sponsoring agency for New York’s Urban Search and Rescue Taskforce (NY-TF1.) The taskforce consists of 231 elite NYPD and FDNY members that train/instruct year-round to maintain niche response capabilities. The College Aide will assist with implementing financial management systems that support taskforce readiness and response activities.
Description of Responsibilities: The US&R program seeks a College Aide to provide administrative and data support across the program. This role offers exposure to emergency management, grants administration, logistics, and interagency coordination.
Responsibilities include
- Assisting with updates to program plans, procedures, and readiness documents.
- Reviewing, and organizing grant and activation documentation.
- Helping maintain grant tracking systems, equipment inventories, and reporting data.
- Assisting with assembling documentation for audits, reimbursements, and procurement.
- Supporting special projects and research tasks related to US&R grant requirements.
Skills / Qualifications
- Strong organization and attention to detail.
- Clear communication and teamwork skills.
- Experience with Microsoft Office 365.
- Ability to manage multiple tasks and follow established procedures.
- Interest in emergency management or public-sector operations.
The selected candidate will be required to provide a letter confirming matriculation with an accredited college/university. Further letters will be required for each semester (spring, summer, fall) while working at NYCEM.

For Assignment Level I: Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school. For Assignment Level II (Information Technology): Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study. For Assignment Level III (Information Technology Fellow): Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.
SPECIAL NOTE Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.
