Job description
General Characteristics (Job Summary)
- Oversee and lead the document control function within a project or organization, develop and implement document control policies and procedures, managing document control personnel, and ensure the highest standards of document control practices are maintained.
- Systematically manage the construction-related documents for the project to be carried out smoothly.
- Manage project documents.
- Collect data and build a database.
- Manage the document system and transmittals.
Roles & Responsibilities
- Lead and manage a team of Document Controllers.
- Manage as project system administrator for the Electronic Document Management System (EDMS) .
- Supervise Multiple Data Base (Log Sheets) to keep track of all Correspondence and its electronic files.
- Review and confirm reports addressing document control issue.
- Review and confirm official documents to client and sub-contractors.
- Take action to respond to the requirement from client, PMT or Subcontractors on document control issue.
- Lead tracking Facility to enable documents to be updated easily.
- Manage transmittal and Letter for Documents Submission to Client.
- Manage all technical documents, such as reports, drawings and blueprints, are collected and registered in system.
- Supervise to file documents in physical and digital records and ensure appropriate storage and ensure the latest revisions of all documents.
- Supervise drawings produced for the projects are recorded and distributed to dedicated personnel and prevent use of superseded documents.
- Manage transmittals for General Drawings/ Documents for transmission to Client or internal purposes.
- Manage Progress Report every week and end of the month to ensure all other discipline activities that required inspection within the activity have been inspected and approved.
- Manage Numbering & identification of physical & electronic documents.
- Supervise to distribute any related documents to internal of project.
- Manage Quality & compliance checks on documents.
- Review Progress reporting on the documents status.
- Confirm confidentiality around sensitive information and terms of agreement.
- Educate and trains document controller consistently.
Experience
- 0 to 4 years of experience in document control, with a proven track record in a leadership role, preferably within the construction or oil and gas industry.
Knowledge
- Competent with document control.
- Professional skills in MS office including MS Excel and MS Word.
- Professional skills in Adobe Acrobat, EDMS (Electronic Document Management Systems), FMCS, CM Tool, VPIS, SPF (Smart Plant).
- Administration knowledge.
- Expertise in Construction Document Control.
Technical Skills and Competencies
- Advanced knowledge of document control processes, best practices, and industry standards.
- Expertise in Electronic Document Management Systems (EDMS), with experience in implementing and managing these systems.
- Familiarity with project management methodologies and processes.
- Strong leadership and team management skills.
- Excellent problem-solving and decision-making abilities.
- Ability to develop and implement effective document control strategies and solutions.
- Proven ability to train and mentor staff.
