The Transition Recruiting Coordinator is a critical partner to Talent Acquisition (TA) and field leadership, ensuring transition hiring is executed smoothly, compliantly, and at the pace of the business. This role coordinates end-to-end transition hiring logistics and pre-employment screening, brings clarity and consistency to high-volume hiring workflows, and improves the recruiter and candidate experience through strong communication, process discipline, and data-driven follow-up. The ideal candidate executes brilliantly, communicates with impact, stays agile and solution-focused, and acts like an owner to remove friction and drive fast, simple, good decisions.
What You Will Do
Transition Hiring Support
- Prepares AIR leaders with information, tools and resources to conduct successful initial meetings and interviews with transition teammates.
- Manage the pre-employment screening process, and communications for all Transition hires.
- Manage administrative tasks associated with transition hiring, including creating staffing plans, job requisitions, and communicating hiring progress to stakeholders.
- Create and maintain effective communication templates designed to enhance the recruiter and candidate experience.
- Create and manage processes that drive an efficient and effective recruitment process, from initial outreach through onboarding paperwork completion.
- Follow up with candidates to ensure hiring paperwork is completed on time.
- Partner with payroll team to enhance the onboarding process.
- Communicate hiring plans and progress to key departments, including IT, Communications, Marketing and Central Support.
Pre-Employment Screening & Compliance
- Manage and track all activities related to pre-employment screening for Transition hires, including background checks, drug screens, and related compliance requirements.
- Act as the primary point of contact for candidates, hiring teams, recruiters, and internal partners to ensure timely and accurate completion.
- Monitor status, resolve issues, and proactively communicate delays or risks to recruiters and hiring managers.
- Manage the creation and collection of Provisional Hire agreements as needed.
Operational & Leadership Support
- Provide ad hoc support to TA leadership, including reporting, process documentation, audit support, and project coordination.
- Assist with continuous improvement initiatives focused on process efficiency, candidate experience, and recruiter effectiveness.
Required Qualifications
- 2–4 years of experience in Talent Acquisition coordination, recruiting operations, HR operations, or a related role.
- Demonstrated experience coordinating pre-employment screening (e.g., background checks, drug screens) and managing high-volume, time-sensitive workflows with strong attention to detail.
- Strong written and verbal communication skills; able to communicate proactively, clearly, and professionally with candidates, hiring leaders, recruiters, and cross-functional partners.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint) and comfort working in ATS/HR systems, tracking data, and producing basic reports.
- Ability to prioritize, simplify, and follow through—driving fast, simple, good decisions while maintaining compliance and confidentiality.
- High degree of discretion and sound judgment when handling sensitive candidate and teammate information.
Preferred Qualifications
- Experience supporting pre-employment screening and vendor management.
- Prior experience managing staffing agency relationships or contracts.
- Familiarity with recruiting analytics, automation, or AI-enabled recruiting tools.

- Expected base salary of $70,000- $80,000. You will be provided a pay rate that is in line with your skills and experience as they relate to the requirements of the job.
