What this job involves:
The Guest Services Ambassador is critical to enhancing the workplace experience for employees and clients, by creating a workplace that is energetic, warm, and engaging.
This role is the first interaction anyone coming into the SAP office has, you set the tone for the SAP experience. You will be assisting Facilities team to ensure that the workplace and client meeting spaces are maintained to the highest standard, providing high levels of customer service, and looking for
opportunities to exceed expectations and create memorable experiences.
Key Responsibilities include:
Client Service & Reception Management: Manage front desk operations including greeting visitors, handling phone inquiries, maintaining reception areas, issuing access cards, and managing visitor registration systems. Serve as the welcoming face of the organization while building strong stakeholder relationships.
Meeting & Event Coordination: Oversee meeting room bookings, set-ups, and audio-visual equipment for conferences, training sessions, and events. Ensure rooms are properly stocked, clean, and ready for use, coordinating with IT and facilities as needed for after-hours requirements.
Operational Support: Handle mail and courier services, assist with photocopying and faxing, maintain phone directories and contact lists, and fulfill ad-hoc requests to support the facilities team efficiently.
Procurement & Vendor Coordination: Order and maintain office supplies, pantry items, beverages, and consumables. Assist with contractor management and inductions to ensure service standards are met.
Financial Administration: Support financial processes by managing purchase orders in JDE, scanning delivery documentation, and ensuring timely and accurate invoice processing for the facilities team.
Health & Safety Compliance: Report incidents, hazards, and risks promptly while maintaining duty of care for personal safety and that of colleagues and visitors in accordance with organizational policies.
Facilities & Site Maintenance: Coordinate with cleaning and pantry staff to maintain kitchen areas and common spaces. Monitor office presentation standards and assist cleaning teams during busy periods to ensure a pristine environment at all times.
Performance Goal: Achieve Key Performance Indicators and Service Level Agreement targets for reception services while supporting overall facilities management objectives.
