Job Description
The Procurement Assistant provides administrative and operational support to the procurement and logistics team in the infrastructure construction industry. Responsibilities include assisting with
sourcing materials and services, maintaining records, and coordinating with suppliers to ensure timely and cost-effective procurement. Strong administrative skills, attention to detail, and the ability to work in a fast-paced environment are essential for this role.
Responsibilities
• Assist in vendor identification, pre-qualification and documentation preparation.
• Maintain accurate procurement and logistics records, including contracts, purchase orders, and supplier communications.
• Assist in the creation and monitoring of reports and KPIs
• Assist in formulating correspondence with Stakeholders including the Client
• Support the issuance of requests for quotations (RFQs), purchase orders (POs), and tender packages.
• Coordinate with suppliers to confirm order details, track deliveries, and resolve discrepancies.
• Monitor supplier performance and support the resolution of any issues that arise.
• Liaison with the Accounting Department to help assist procurement related invoicing issues, matching them against purchase orders for accuracy.
• Liaison with the Cost Control Department to help ensure costing is accurately captured and coded according to project requirements
• Ensure compliance with procurement policies, industry regulations, and company standards.
• Provide general administrative support to the procurement and logistics team, including filing, data entry, and reporting.
• Participate in Working Group Meetings as needed.
• Aid in recording of Meeting minutes.
• Other related activities as required.
Required Skills and Competencies
• Diploma or Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
• 1-3 years of experience in procurement or supply chain management, preferably in the construction industry.
• Strong organizational skills with attention to detail and accuracy.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with procurement software or ERP systems (e.g., SAP) is an asset.
• Excellent communication and interpersonal skills for effective collaboration with suppliers and internal teams.
• Ability to multitask and prioritize workload in a fast-paced environment.
• Basic knowledge of procurement principles, contract administration, and supplier management.
• Certified Professional Purchaser (C.P.P.) or Certified Supply Chain Management Professional (CSCMP) is an asset.
• Experience with procurement software, such as SAP, is preferred.
This role offers an annual base salary in the anticipated range of $60K-$85K CAD, with compensation determined based on experience, qualifications, and internal equity.
