Job description

At Mindbox we connect top IT talents with technology projects for leading enterprises across Europe. As HR Operations Specialist , you will be responsible for delivering locally mandated HR and payroll-related administrative services in Poland. You’ll ensure full compliance with Polish labor law, social security, tax, and statutory requirements through accurate and timely execution of country-specific processes. This role serves as a vital interface between HR Services, Payroll, statutory authorities, and internal stakeholders. What you'll be doing Deliver end-to-end HR administrative services in line with agreed scope, including: Employment contracts and amendments related to job, salary, FTE, remote work changes. Employment and income certificates, statutory confirmations, year-end tax statements (PIT-11). Social security and tax-related processes (incl. Płatnik system, ePUE platform). Garnishments, cooperation with bailiffs, and relevant deductions. Statistical and regulatory reporting (PFRON, GUS) . Coordination of medical check-ups and preparation of required documents. Physical HR documentation handling (incl. Personnel Files) as required by law. Ensure compliance with labor law and documentation retention regulations. Act as a subject matter expert for Poland HR administrative services. Provide Tier 2 support for employee inquiries on HR administrative topics. Support audits, inspections, and authority requests. Maintain and update SOPs and desk procedures for Poland HR servicesIdentify and drive process improvements and automation opportunities. Who we're looking for Degree in Human Resources, Labor Law, Business Administration, or related field. Proven experience in HR operations, payroll support, or statutory administration in Poland. Knowledge of Polish labor law and compliance-driven HR processes. Familiarity with Płatnik system, ePUE platform, social security and tax reporting. Hands-on experience with employee lifecycle documentation and physical HR file management. Advantage: experience with Workday or global payroll providers (ADP or similar). Fluent Polish and good working knowledge of English. Strong accuracy, attention to detail, and ability to manage manual compliance-critical tasks.
