About the Role
As an Administrative Executive, you will support the day‑to‑day operations of the Office of the CEO.
Reporting to a Project Manager, your role is hands‑on and execution‑focused, involving the coordination of meetings, preparation of presentation materials, venue and room setup, IT and lighting checks, and the arrangement of travel and transport. You will help ensure leaders are well supported through careful planning, attention to detail, and timely follow‑through.
This is a fast‑paced role suited to someone organized, discreet, reliable, and comfortable working around senior stakeholders, with a strong focus on logistics, coordination, and getting things done.
What You’ll Do
Executive & Office Support
Support the day‑to‑day operations of the CEO Office to help ensure activities run smoothly.
Provide hands‑on administrative and logistical support before, during, and after board and executive meetings.
Anticipate operational needs and help resolve issues quickly to keep schedules and engagements on track.
Meeting & Logistics Coordination
Coordinate logistics for board meetings, executive committee sessions, and senior leadership meetings.
Manage end‑to‑end meeting readiness, including room setup, IT and lighting checks, printed materials, seating, and on‑site coordination when required.
Track meeting outcomes, document action items, and follow up on logistics‑related next steps.
Coordination & Communication
Support communication between the CEO Office and internal teams by sharing information clearly and promptly.
Work closely with colleagues across departments and external vendors to coordinate schedules, transport, and meeting arrangements.
Project & Ad‑hoc Support
Provide administrative and coordination support to ongoing initiatives, including tracking timelines and organizing information.
Assist with ad‑hoc tasks and time‑sensitive requests as needed, particularly around senior leadership engagements.
Skills & Qualifications
Significant experience in an administrative or executive support role, ideally supporting senior leadership.
Strong organizational and project coordination skills with the ability to manage multiple priorities.
Excellent communication and interpersonal skills; confident engaging with senior executives.
High level of discretion and integrity in handling confidential information.
Proficiency in Microsoft Office Suite and collaboration tools.
Ability to work independently, exercise judgment, and take initiative.
