Voodoo’s Corporate function is composed of five teams: HR, Talent acquisition, Legal, M&A and Finance, working together to drive Voodoo’s success.
We're looking for a Freelancer Workplace Experience Specialist to join our team in Istanbul. In this role, you'll be the first Workplace hire in our Istanbul office, responsible for transforming a new space into a thriving, culture-first environment - and running it as the team scales.
ROLE
- Own the office fit-out end to end, from layout design and space planning to decoration, ensuring the workspace reflects Voodoo's identity
- Build and run the local vendor ecosystem from scratch - source, qualify, and contract fit-out companies, cleaning services, and maintenance providers
- Set up a world-class snacking and food experience by sourcing local Turkish suppliers for coffee, tea, food, and snacks aligned with Voodoo's culture and expectations
- Design a workspace that brings people together, with desk zones, meeting rooms, and social spaces crafted to fuel collaboration, productivity, and a genuine sense of team connection, creating experiences compelling enough to make the office the place people actually want to be.
- Report to the Paris Workplace Manager, with a dotted-line to the Local GM, and keep all stakeholders up to date on setup milestones, budget spend, and vendor status using Google Suite.
- Run regular employee satisfaction surveys, summarise the results, and build time-bound action plans from the feedback. Review plans with the Manager, implement them, and track their impact, keeping disruption to employees as low as possible.
- Ensure rigorous and timely budget tracking and deliver structured monthly reports, flagging risks proactively
- Manage all vendor relationships and supply chains, renegotiating or replacing suppliers when needed
- Lead small office events and team-building activities that reinforce Voodoo's culture and bring the Istanbul team together depending on goal set up with management
- Scale workplace operations as headcount grows from 15 to 30+ people, anticipating needs and adapting processes accordingly
PROFILE
- 3–6 years of experience in Workplace, Office Management, Facilities, or a related role, ideally in a startup, scale-up, or high-growth tech environment
- Fluent in both English and Turkish (written and spoken), with the ability to communicate clearly whether briefing Paris or negotiating with local suppliers
- Proficient in Google Suite (Docs, Sheets, Slides, Drive, Notion is a plus)
- Proven local vendor network in Istanbul across fit-out contractors, cleaning companies, and snacking suppliers
- Strong budget management and reporting skills, comfortable owning a P&L line and communicating spend to stakeholders in a structured, data-driven way
- Entrepreneurial, autonomous, and proactive - you thrive in ambiguity, take full ownership, and deliver results without needing a playbook
- Comfortable being on-site a minimum of 3 days per week in the Istanbul office
- Experience setting up a brand-new office from scratch is a strong plus
- Prior experience in a high-growth tech or gaming company is a plus
