Document Specialist
We are seeking a detail-oriented Document Specialist to support our facilities programs within a GMP pharmaceutical manufacturing environment. This role is responsible for maintaining accurate documentation, records management, and administrative support for all facilities services activities to ensure regulatory compliance and program effectiveness.
What your day-to-day will look like:
- Maintain comprehensive pest control records, inspection logs, and compliance documentation in accordance with GMP requirements.
- Ensure all pest control and facilities programs documentation meets FDA and regulatory standards for pharmaceutical manufacturing.
- Accurately enter pest monitoring data, inspection results, and corrective actions into tracking systems.
- Verify data accuracy and completeness of vendor-submitted reports and documentation.
- Maintain digital and physical filing systems for easy retrieval during audits and inspections.
- Prepare pest control and facilities programs documentation packages for regulatory inspections and internal audits.
- Ensure all facilities services documentation follow established timelines and regulatory requirements.
- Schedule pest control services and coordinate with vendors for documentation requirements.
- Distribute pest control reports and updates to relevant stakeholders
- Maintain vendor documentation including certifications, licenses, and service agreement.
- Review pest control and facilities services documentation for accuracy, completeness, and compliance
- Identify and resolve documentation discrepancies or gaps
- Support corrective action documentation and follow-up activities
- Interface with pest control manager, quality assurance, and operations teams regarding documentation needs.
- Provide administrative support for pest control investigations and incident reporting
- Assist with training material preparation and documentation updates
Required Qualifications:
- 2+ years’ experience in document management or administrative roles
- Experience with GMP documentation requirements in pharmaceutical or regulated manufacturing environments.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong attention to detail and accuracy in data entry and record keeping
- Excellent organizational and time management skills
Preferred Qualifications:
- Associate's degree preferred
- Experience with electronic document management systems
- Knowledge of pest control operations and terminology
- Familiarity with FDA regulations and pharmaceutical compliance requirements
- Experience with quality management systems and audit processes
- Ability to work in office environment with occasional facility inspections
- Basic computer skills and ability to work with electronic databases
- Occasional lifting of files and documentation materials up to 25 lbs.
Location:
Onsite – Juncos, Puerto Rico
Work Shift:
Monday to Friday 8:00am to 5:00pm + Overtime based on business needs.
Estimated compensation for this position:
45,000.00 – 47,600.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
