Company: Ziyut Al Adaa Lubricants Trading Company (represented by XLNT Company) Industry: Industrial Lubricants (Cyclon, Klueber, TotalEnergies) XLNT is seeking an organized, proactive, and detail-oriented Sales & Operations Support Officer to join its growing team. The role supports the Sales & Operations Support Officer in daily operational and commercial activities, ensuring smooth coordination between internal departments, suppliers, and customers. You will be responsible for follow-ups, reporting, coordination, and administrative support that enable efficient day-to-day operations. This position is ideal for a structured and reliable professional who wishes to grow within an international business environment. About XLNT & Ziyut Al Adaa Companies XLNT Company represents Ziyut Al Adaa Lubricants Trading Company in Greece, managing the exclusive import and distribution of Cyclon, Klueber, and TotalEnergies industrial lubricants for Iraq, with over 12 years of expertise and 30 exclusive lubricant contracts. Both companies operate under the same management, ensuring seamless coordination and dedication to exceptional service, technical support, in order to sustain market presence in Iraq and Middle East. Key Responsibilities Support sales and operations departments in daily activities Follow up on pending tasks, orders, and internal/external communications Prepare and send professional emails to suppliers and customers Assist the manager with scheduling, prioritization, and task tracking Update and maintain records in ERP systems and Excel files Prepare reports, summaries, and operational updates when required Coordinate internally between departments and externally with partners Assist in documentation preparation (orders, shipping, invoicing support) Provide general administrative and operational support
Education : Bachelor’s degree in Business Administration, Management, or a related field (preferred). Experience : Minimum 2 years of experience in office administration, sales support, or operations support roles. Language Proficiency: Fluent in both Greek and English, with excellent written and verbal communication skills and the ability to draft clear, professional emails in English Technical Skills : Proficiency in Microsoft Office is mandatory and ERP systems is a plus (experience with SoftOne & ClickUp). Attention to Detail : Consistently accurate with data handling, document management, and sales coordination. Multitasking & Time Management : Ability to prioritize tasks and handle multiple responsibilities in a fast-paced environment. Independent & Team-Oriented : Capable of working independently with minimal supervision, while also collaborating effectively with cross-functional teams. Proactive Attitude : Demonstrated ability to identify issues and act quickly, with a proactive approach to problem-solving. Availability : Willingness to work five days per week with a hybrid model 8-hour shift, from Monday to Thursday in our Vári office and on Fridays or Saturdays, the role transitions to remote work.
