Position Summary We are seeking a detail‑oriented and people‑focused Human Resource Specialist to support HR operations across our West Region. In this role, you will coordinate onboarding, manage employee documentation, support Leaves of Absence, ensure regulatory compliance, and provide daily HR support for both craft and professional employees. Responsibilities Onboarding & Orientation: Lead new hire orientation for craft and professional employees Prepare and distribute onboarding materials Coordinate background checks and drug screens through First Advantage Process new hires in iCIMS, UKG, and JD Edwards (JDE) and communicate updates with internal stakeholders Serve as backup support for new hire processing and onboarding activities Travel to regional sites to conduct HR orientation and training sessions Employment Authorization & Background Screening: Manage HireRight I‑9 authorization and reverification processes Download and retain employee I‑9s and supporting documentation for internal records Run Clearinghouse reports as required Monitor HireRight reverification reports and maintain supporting documentation Leaves of Absence (LOA): Serve as the primary contact for FMLA, CFRA, disability, workers’ compensation, and personal leaves Provide required documentation, track leave timelines, and manage return‑to‑work processes Coordinate with managers, payroll, and internal teams on status changes Support reporting related to furloughs, terminations, or potential LOA activity Compliance, Audits & Reporting: Conduct weekly SOX audits, including: New Hires Terminations Job Changes JDE updates Direct Deposit changes Complete weekly compare reports and meetings to verify direct deposit data accuracy Support quarterly PwC and Audit Board audits Assist with IRS Lock‑In Letters and required follow‑up Manage fuel reconciliation monthly audits Track and report total hours for Environmental reporting Ensure required labor law postings are accurate and displayed at all regional sites Documentation & Employee Records: Maintain accurate, confidential, and compliant employee files Compile and distribute HR mail for regional offices HR & Employee Support: Process W‑4 updates, address changes, personnel change forms, transfers, and step increases Manage the WRHR email inbox, including: General inquiries Voicemails Verifications of Employment (VOEs) Assist with email inbox coverage as needed Request and compile employee records for subpoenas and legal requests Coordinate contingent worker setup and assignment management with internal teams Send internal communication emails, including FunEx notifications DOT: Provide backup support to ensure all Federal, State, and Local Department of Transportation requirements are met Assist with audits of Area Operations and Corporate for compliance Provide backup support for the Union population Random Drug Testing program Support interpretation and implementation of the company’s Substance Abuse policy, including assisting with related violations Provide backup support for MVR administration for Henkels & McCoy West, LLC (Clearing House, DER, SAP, Manage driver files) Qualifications Bachelor’s degree in Human Resources, Business Administration, or a related field; SHRM-CP certification preferred or equivalent experience 2+ years of progressive HR or business operations experience; LOA experinece highly preferred Experience with HRIS systems such as iCIMS, UKG, and JD Edwards (JDE) preferred Strong attention to detail, confidentiality, and organizational skills Excellent communication and time‑management abilities Valid driver’s license and ability to travel regionally Ability to lift up to 20 lbs Hourly Range: $25.19 - $37.79 hourly / DOE Benefits: Full-time employees are eligible to participate in our benefit plan which includes the following: 401(k) Plan Employee Stock Purchase Plan Health, Dental, & Vision Insurance Voluntary Life Insurance Voluntary Short-Term & Long-Term Disability Paid Time Off Henkels & McCoy West, LLC. is an Equal Opportunity Employer of Minorities, Females, Protected Veterans, and Individuals with Disabilities.
