What is your mission?
As a Business Process Partner/ Administrative Pool Assistant, you will be part of a business support team working closely with the leadership team. Your mission will be to improve business agility and operational efficiency, helping free up valuable time for strategic teams as well as field-based commercial and service teams.
This role combines high-quality executive and administrative support with a strong focus on innovation and continuous improvement. You will help optimize processes, introduce practical management tools, including project management and AI-based solutions, and ensure compliance with internal policies at a national level.

Your Key Responsibilities
Executive and leadership support Coordinate and manage leadership agendas, including meetings, travel planning, and other priority activities that support business focus and organizational effectiveness.
Internal and external coordination Support interactions with key internal and external stakeholders to help move strategic initiatives, cross-functional projects, and commercial priorities forward. You will also contribute to improving day-to-day ways of working, making processes clearer, simpler, and more efficient.
Commercial support
Provide direct support to key account teams by preparing client briefings, maintaining accurate CRM data, and following up on administrative and operational actions as part of the: wider business support team.
Process improvement and automation Identify repetitive or manual tasks across different areas and help design and implement practical solutions to simplify, improve, and automate them, including through the use of AI and digital tools.
Compliance and governance Help ensure that administrative and operational processes are carried out in line with internal policies and standards across Finance, Human Resources, Communications & Events, and Business Integrity.
Cross-functional collaboration Work closely with colleagues across the support team to coordinate priorities, provide back-up when needed, and help ensure continuity and balanced workload across the organization.
What We Look for in You
At least 5 years of relevant experience in one or more of the following areas:

Project management from planning through execution
•
Executive support
•
Team coordination
•
Administrative or operational management in large corporate environments, ideally within matrix or network organizations
•
Residence in Barcelona
Languages Fluent written and spoken English and Spanish are essential.
Digital mindset and technology skills Strong experience using cloud-based productivity tools such as Microsoft 365 or Google Workspace, together with a proactive and demonstrated interest in Generative AI and digital innovation.
