Patient Referral Specialist
Location: Keystone Pediatrics
Schedule: Monday – Friday | Full Time (40 hours/week) | No weekends or holidays
Job Description:
The Patient Referral Specialist will perform medical records duties, including the management of referrals and forms. Responsibilities include scheduling appointments, compiling, verifying, and scanning patient health information into the electronic health record according to established guidelines. The incumbent will perform duties under the supervision of the Office Manager.
Key Responsibilities:
- Functions independently — demonstrates strong judgment and the ability to work with minimal supervision.
- Produces thorough documentation — ensures all referral activities are fully completed and accurately recorded.
- Carries out practitioner orders — schedules appointments, obtains insurance preauthorizations, and completes all referral‑related tasks.
- Provides telephone support — assists patients with questions and needs related to referrals.
- Educates patients on KH programs — understands available services and guides patients on how to access additional assistance.
- Participates in staff meetings and training — attends front office meetings and completes all required learning modules.
- Communicates essential information — ensures timely and accurate information sharing with team members.
- Supports Quality Assurance initiatives — participates in QA activities to improve processes and patient experience.
- Understands insurance authorization requirements — maintains knowledge of payer rules for prior authorizations.
- Engages in continuing education — attends training related to referrals, insurance processes, and workflow updates.
- Understands testing criteria — is familiar with requirements from other offices for various patient tests.
- Uses electronic health records effectively — demonstrates working knowledge of EHR systems.
- Assists with insurance worksheets — supports completion and accuracy of insurance documentation.
- Enters and verifies insurance information — identifies and corrects errors in insurance screens within KH systems.
- Demonstrates excellent interpersonal skills — maintains positive, professional interactions with patients, staff, and external partners.
Education/Experience
Minimum High School Diploma or Equivalent required. Medical Assistant/Certified Medical Assistant preferred;
Certifications, Licenses and Registrations
Valid CPR certification.
