Job Description:
The DOT Compliance Administrator is responsible for ensuring all DOT regulatory requirements are met across driver qualification, licensing, safety monitoring, and drug and alcohol compliance programs. This role supports the Compliance Manager and Safety team by maintaining accurate records, monitoring driver activity, and ensuring company compliance with federal and state regulations.
Job Duties & Responsibilities:
Regulatory Compliance & Driver Qualification
Maintain and audit all driver qualification files, including DOT and non-DOT drug and alcohol documentation, ensuring compliance with federal and state regulations
Manage records to ensure they are accurate, complete, and audit-ready at all times
Coordinate CDL licensing and medical card tracking to ensure all drivers remain active and compliant
Driver Monitoring & Risk Management
Monitor motor vehicle records (MVRs) for CDL and non-CDL drivers and flag any issues impacting driver risk
Run MVRs for pre-employment candidates and assist in annual compliance reviews
Compile and maintain driver data to support regulatory reporting and risk management initiatives
Safety & Technology Monitoring
Monitor real-time driving activity through systems such as Samsara, identifying safety risks and coaching opportunities
Troubleshoot camera and system issues to ensure equipment functionality and compliance
Support accident investigations by retrieving and managing video footage for internal review and potential litigation
Partner with Safety leadership and division teams to support driver coaching initiatives
Drug & Alcohol Program Administration (DER Responsibility)
Serve as the Designated Employer Representative (DER) for all DOT-regulated employees
Administer all drug and alcohol testing programs, including pre-employment, random, post-accident, and reasonable suspicion testing
Ensure quarterly testing requirements are met and maintain compliance with mandated DOT programs
Collaboration & Support
Provide ongoing support to the Safety Department on programs, reporting, and process improvement initiatives
Respond to external inquiries from other carriers regarding driver safety and drug/alcohol history
Assist in pre-employment compliance processes such as Clearinghouse checks, previous employer verifications, and onboarding documentation
Support day-to-day driver-related issues and assist field operations as needed
Additional Responsibilities
Assist the Compliance Manager with hiring and onboarding compliance activities
Support division-specific needs related to driver issues and compliance requirements
Perform other duties as assigned to support DOT compliance and safety operations
Minimum Qualifications & Training:
Education Level: High School degree required. Associate or bachelor’s degree or an equivalent combination of work and experience preferred.
Work Experience: Entry-Level position
Required License/Certification: NC Driver License
