Role Description:
We are seeking a detail-oriented and tenant-focused Assistant Property Manager to support the daily operations of our commercial office portfolio in Vancouver, BC. Reporting to the Property Manager and General Manager, the Assistant Property Manager plays a key role in ensuring the efficient day-to-day management of the buildings, maintaining high standards of tenant service, and supporting financial and administrative functions across the portfolio. This role is well-suited to someone with experience in commercial property management, strong organizational skills, and the ability to manage competing priorities in a fast-paced, multi-tenant environment.
Responsibilities:
- Provide support to the General Manager and Property Manager in the day-to-day activities for buildings in the portfolio and assist in completing annual budgeted projects within budgeted amounts.
- Supervise contractor performance and contractual obligations for major service and capital contracts, escalating deficiencies as required.
- Analysis of financial statements for preparation and posting of monthly reports
- Assist with annual budget process for buildings within the portfolio.
- Liaise with tenants for escalated collection of accounts receivable matters and reconcile accounts.
- Administer lease related payments (i.e. tenant allowances, etc.).
- Processing of Capital invoices, back up (ie. cost control)
- Process invoices including matching, coding invoices to comply with budget schedules and compiling and verifying batches submitted to Regional Accounting.
- Administrative functions relating to property management and analysis of leases.
- Tender and administer operational service contracts (landscaping, HVAC, elevator, cleaning, security, life safety, etc.), ensuring vendor compliance with QuadReal insurance requirements and performance standards.
- Maintain and update contract schedule and various database software
- Monitor and follow up on QuadReal Connect/Tenant maintenance requests to ensure overall service delivery is consistent with QuadReal standards
- Maintenance and updating of tenant information, for timely collection and recording of tenant insurance certificates.
- Maintain tenant manuals and assist with coordination of tenant appreciation function for the buildings in the portfolio.
- Administer periodic tenant satisfaction surveys; analyze results for trends and service gaps, follow up with tenants on concerns raised, and report findings to the Property Manager with recommended action items.
- Prepare, issue, and distribute correspondence to tenants, including construction notices, service disruption bulletins, and general building communications.
- Oversee rent collection, cheque posting, and application of payments to tenant accounts.
- Review and verify monthly recurring billings for accuracy prior to submission.
- Prepare Rental Letters.
- Liaise with tenants and follow-up communication for dealing with tenant matters.
- Monitor and track vacant unit utility accounts.
- Process all cheques, invoices and related reports and systems within Yardi as assigned.
- Read and understand leases to ensure accurate information is received and maintained.
- Read and review Lease Review Checklists and reports (LRC’S)
- Maintain and update security deposit reports.
- Maintain and update tenant information, including phone numbers, contact names and emergency contact information as changes occur
- Complete understanding and adherence to the Environmental Policy, the Code of Conduct and other policies and procedures relevant to the position as prescribed from time to time
- Support building operations oversight, including monitoring life safety systems, elevators, escalators, mechanical and electrical systems, and coordinating inspections and remediation work with qualified service providers.
- Manage visitor access and security protocols, including NDA administration and coordination with building security for sensitive tenant requirements.
- Support QuadReal’s sustainability and ESG objectives through monitoring of utility accounts, coordinating energy and environmental initiatives, and maintaining compliance with applicable environmental regulations.
- Coordinate parking operations, including rate change notices, tenant and visitor parking allocation, and resolution of parking-related tenant inquiries.
- Other duties as directed by the Property Manager.
Experience and Qualifications:
- Bachelor's degree in business, real estate, or a related field; equivalent combination of education and experience will be considered.
- Minimum 1–3 years of experience in commercial property management; office asset experience preferred.
- Proficiency in Yardi Voyager for invoice processing, tenant billing, and reporting.
- Strong commercial lease administration experience, including reading and interpreting lease agreements, LRCs, and lease-related payment obligations.
- Solid understanding of accounts payable and receivable, budget coding, and monthly financial reporting.
- Strong communication and interpersonal skills, with the ability to manage relationships across tenants, contractors, and internal stakeholders in a professional manner.
- Highly organized with the ability to manage competing priorities across a multi-tenant portfolio.
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
- Familiarity with work order and tenant request platforms such as QuadReal Connect is an asset.
- Experience with contract tendering and vendor management is an asset.
Work Environment:
- Full-time, on-site role based in Vancouver, BC.
- Occasional evening or weekend availability may be required to support building operations or tenant events.
- On-call responsibilities may apply for urgent building or tenant matters.
