We are seeking a Senior Meeting Planner/Event Facilitator to provide logistical and conference planning support for meetings in support of the United States (U.S.) Department of Transportation’s (DOT) Federal Transit Administration (FTA). This is a remote position with in-person participation in events in the Washington D.C. area required.

So, what will the Senior Meeting Planner/Event Facilitator at Terrestris do?

As the Senior Meeting Planner/Event Facilitator you will plan, coordinate, and execute meetings and conferences, manage logistics and vendors, facilitate event activities, oversee registration and audiovisual support, and deliver meeting documentation and stakeholder communications. This position is contingent upon contract award.

What does a typical day look like for the Senior Meeting Planner/Event Facilitator?

You will

  • Coordinate conference logistics, venue arrangements, and vendor services to support successful events.
  • Facilitate meetings and workshops, ensuring agendas are followed and objectives achieved.
  • Develop event materials, presentations, attendee packets, badges, and registration resources.
  • Manage attendee registration processes and maintain accurate participant communications and records.
  • Monitor event readiness, resolving logistical issues and coordinating stakeholder requirements.
  • Oversee audiovisual setup, testing equipment, and supporting seamless meeting execution.
  • Prepare meeting summaries, action items, and post-event reports for Government stakeholders.

What qualifications do you look for?

You might be the professional we’re looking for if you have:

  • Authorization to work in the United States permanently without sponsorship.
  • A minimum of a Bachelor’s Degree.
  • A minimum of (10) years of experience in event planning, event supervision, and event facilitation.
  • Ability to perform administrative duties such as preparing quality documents, reports, and slides.
  • Ability to coordinate briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance, and minutes.
  • Ability to manage time and events effectively.
  • Microsoft Office (Word, Excel, PowerPoint) experience in preparing, editing and finalizing correspondence, documents, and briefings.
