Job description

The Lead, Hospitality Services reports to the Director, Culture and Studio Experience and contributes to the implementation and evolution of Rodeo FX’s hospitality vision by ensuring a welcoming, professional, and seamless studio experience for clients, guests, freelancers, artists, and employees.
At the intersection of service, coordination, and studio operations, the person in this role ensures the smooth day-to-day operation of hospitality services and food management at the Montreal studio. They provide outstanding customer service and oversee the preparation of spaces, inventory tracking, orders, supplier coordination, as well as support for meetings, client visits, and internal events

Key Responsibilities:

Mastery of Craft

  • Coordinate requests related to hospitality services for clients, guests, freelancers, artists, and internal teams.
  • Prepare or coordinate food platters, beverages, snacks, and other items required for studio activities.
  • Provide service, including coffee, meals, and bar service, as well as “white glove” service for high-profile guests when required.
  • Follow up with restaurants, caterers, delivery services, and other suppliers, including picking up orders when required.
  • Manage inventories of food, beverages, supplies, and materials related to hospitality services.
  • Plan required orders, ensure stock rotation, and limit waste.
  • Track expenses, receipts, and orders according to internal processes and tools.

Service Quality

  • Provide a professional, warm, and welcoming experience that is consistent with Rodeo FX’s high standards.
  • Ensure the preparation, organization, and presentation of hospitality-related spaces, while maintaining cleanliness, hygiene, and service with strong attention to detail.
  • Support discreet, efficient, and professional execution during studio activities.

Operational Coordination

  • Collaborate with the Culture, Production, Reception, Facilities, and Housekeeping teams to ensure smooth execution of requests.
  • Quickly flag issues related to spaces, equipment, inventories, or operational priorities.
  • Maintain an operational presence in the studio’s various spaces as needed.
  • Coordinate, with the Facilities team, any required maintenance or replacement of equipment related to hospitality services.
  • Maintain simple tracking tools, such as inventory lists, checklists, procedures, or reference documents.

Events and Studio Experience

  • Participate in the preparation, setup, and smooth execution of internal events, client events, and Culture initiatives by providing operational support, coordinating food-related needs, and delivering the required service according to the context and expected level of service.
  • Make recommendations to improve the participant experience and operational efficiency.

Learn, Share, and Evolve

  • Identify opportunities for improvement, document best practices, and share recommendations that support service quality and continuity.

  • Relevant experience in hospitality, customer service, event coordination, office operations, or a similar environment.
  • Excellent service mindset: professionalism, discretion, attention to detail, and ability to deliver under pressure.
  • Strong organization and autonomy: priority management, execution rigor, consistency, and initiative.
  • Experience with procurement, inventory, and vendor coordination (caterers, deliveries, services).
  • Valid driver’s license (Class 5) and comfort traveling as required for the role.
  • Ability to perform basic budget tracking and follow cost guidelines.
  • Functional French/English bilingualism (welcoming clients and guests).
  • Ability to handle materials and move equipment as needed, following safe handling practices and using available equipment / assistance as required.
  • Assets: food hygiene/sanitation certification (MAPAQ), barista or bar service experience, experience in a studio/production environment, experience with inventory systems.

The person in this role will be required to collaborate daily with our teams located outside of Québec, notably in Los Angeles and Toronto, where the primary working language is English. They will also communicate regularly with international external stakeholders who are not French-speaking. Strong English proficiency is therefore essential to ensure smooth and effective communication in an international work environment, and to represent Rodeo FX’s creative and technical capabilities on a global scale.
