Job description

The Places and Build organization at Zoox is a nimble and diverse group of professionals that manages the Real Estate portfolio, design, construction of bespoke office and industrial environments, maintenance of these facilities, and delivery of culinary services.

Zoox is seeking a highly experienced Senior Facilities Manager to support our growing HQ Campus in Foster City. This role will be responsible for the facilities operations across a diverse mix of spaces, including R&D labs, office environments, and light manufacturing areas. The ideal candidate will have experience managing multi-building campuses with a strong focus on facilities services, preventive maintenance, and operational excellence.

You will be detail-oriented with strong technical knowledge (MEP systems), financial management skills, and excellent customer-service abilities while engaging across all departments and cross-functional teams (Places and Build, IT, security, food, events, etc.) at Zoox.

In this role, you will

  • Manage day-to-day facilities and workplace operations across fleet depot locations, including service request intake, work order triage, issue tracking, and follow-through to ensure operational uptime for depots, charging areas, office trailers, parking lots, and temporary operational facilities.
  • Coordinate corrective and preventative maintenance activities related to HVAC, electrical, lighting, plumbing, access control, gates, roll-up doors, office trailers, exterior infrastructure, and EV charging support areas, while escalating operationally critical issues as needed.
  • Lead vendor and contractor coordination, including scheduling, site access, service setup, onboarding support, compliance documentation collection, communication with service providers, and issue resolution with facilities leadership.
  • Support site readiness, market launches, temporary operational setups, and expansion activities by coordinating with Fleet Operations, Security, IT, EHS, landlords, utility providers, and external vendors to ensure sites are prepared for daily operations.
  • Manage facilities administrative and finance support tasks, including creating and tracking purchase orders through SAP Ariba, supporting accruals, invoice reconciliation, vendor billing review, supply ordering, service documentation, spend tracking, and budget reporting support.
  • Support workplace operations standards by maintaining accurate site documentation, tracking recurring issues, communicating site impacts, and ensuring depot teams have the resources needed to operate effectively.

Qualifications

  • 8+ years of workplace, facilities, or office operations management experience, preferably within technology, corporate campus, or industrial environments.
  • Proven ability to lead in a fast-paced, highly dynamic environment with shifting priorities, evolving business needs, and multiple stakeholder groups.
  • Strong experience managing workplace operations, employee services, vendors, and cross-functional partnerships across large or complex portfolios.
  • Demonstrated experience managing budgets, forecasting expenses, and balancing service levels with fiscal and resource constraints.
  • Excellent administrative, organizational, and project coordination skills, with the ability to manage multiple workflows, priorities, meetings, documentation, and follow-through with a high level of accuracy and detail.
  • Strong communication and interpersonal skills, with the ability to build relationships and work effectively with executives, EAs, business leaders, employees, vendors, and cross-functional partners.
  • Experience developing processes, standards, SOPs, and service programs that improve consistency, scalability, and operational performance.
  • Ability to lead, mentor, and develop team members while driving accountability and strong day-to-day execution.
  • Working knowledge of workplace and building operations, including vendor oversight, moves management, office services, compliance coordination, and employee support functions.
