The Opportunity
This role serves as the operational backbone of Remodel Health’s executive team.
You will primarily support the CEO while also providing administrative and logistical support to the broader Executive Leadership Team. You will manage the CEO’s email and assist the exec team with calendars, coordinate travel, organize key meetings and events, and ensure leaders are focused on the highest-value work.
The ideal candidate is exceptionally organized, anticipates needs before they arise, thrives in a fast-paced environment, and enjoys creating order from complexity.
Key Responsibilities
Executive Support
- Manage complex calendars and scheduling for the CEO and executive leadership team
- Manage email inboxes and triage incoming and outgoing communications for the CEO
- Coordinate internal and external meetings across multiple stakeholders
- Prepare agendas, meeting materials, and follow-up action items
- Screen, prioritize, and coordinate incoming requests and commitments
- Assist with expense reporting, invoice approvals, and administrative tasks
- Help maintain executive priorities and ensure timely follow-through on commitments
- Serve as a gatekeeper for the executive leadership team to protect their time and resources
- Partner closely with the Office Coordinator and Office of the CEO team to ensure seamless execution of company priorities and events
Travel & Event Coordination
- Coordinate domestic travel arrangements, including flights, hotels, transportation, and itineraries
- Manage travel logistics for executive leadership and key company events
- Organize leadership offsites, strategic planning sessions, and team events
- Coordinate board meeting logistics and executive-level gatherings
- Support conference attendance, customer events, and partner meetings
Executive Operations
- Build, maintain, and identify systems and processes that improve executive team efficiency and effectiveness
- Coordinate recurring leadership meetings and planning cadences
- Manage executive documentation, records, data, and shared resources
- Assist with preparation and distribution of board and leadership materials
- Support cross-functional coordination on executive priorities
Qualifications
- 3–8 years of executive assistant, executive operations, project coordination, or related experience
- Experience supporting senior executives in a fast-paced environment
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- High attention to detail and follow-through
- Ability to manage multiple priorities simultaneously
- Strong judgment and discretion when handling confidential information
- Proficiency with Google Workspace, Microsoft Office, and modern collaboration tools
- Positive, service-oriented mindset with a proactive approach to problem solving

- Create significant leverage for the CEO and Executive Leadership Team
- Ensure executive emails, calendars, travel, and logistics operate seamlessly
- Improve consistency and execution around leadership meetings and events
- Build systems and processes that increase organizational efficiency and effectiveness
- Become a trusted partner known for reliability, professionalism, and proactive execution
