Position Title: Membership & Events Coordinator (Vancouver Tennis Center and Mint Valley Tennis Center)
Reports to: Director of Tennis Facilities
Status: Part Time; Hourly; Non-Exempt
Location: Facilities (supports Vancouver Tennis Center, Mint Valley Tennis Center)
Established in 1904, the United States Tennis Association Pacific Northwest (USTA PNW) is a 501c3 non-profit organization working to promote and develop the growth of tennis by providing access for all. As one of the 17 sections of the USTA, the national governing body of the sport of tennis, USTA PNW serves more than 1.3M tennis players, 200+ tennis facilities, and provides low-cost RecTennis afterschool and summer parks programs to 40,000+ participants.
USTA PNW has cultivated over 300 community partnerships including schools, public parks, recreation, and shared spaces across four states. USTA PNW is the largest employer of recreational tennis jobs in the Pacific Northwest with more than 450+ full-time, part-time, and seasonal employees annually, creating new tennis jobs within the immediate communities served as a core initiative of embracing diversity and inclusivity.

Key Responsibilities
- Leads the USTA PNW’s overall efforts to recruit, retain, and engage Facility membership.
- Collaborates with the Director of Tennis and Senior Manager of Tennis Facility Operations to:
- Create a roadmap for sustainable membership growth.
- Establish short and long-range plans and goals to achieve organization's membership objectives.
- Outline a data-driven member engagement, retention, and recruitment strategy and implementation plan.
- Develop strategies and programs to stimulate member engagement as a means of membership renewal.
- Identify opportunities and collaborate with colleagues to enhance member benefits and services offered by the USTA PNW Facilities.
- Develop strategies to measure and strengthen member engagement.
- Work with staff and existing members to develop and manage processes for feedback on USTA PNW Facilities membership, programs, and services (survey).
- Oversee all membership data, tracking, and reporting, including but not limited to:
- Accurate membership records.
- Membership trend analysis by facility.
- Recruitment and retention reports.
- Current, new and prospective member information.
- Initiate and manage strategic partnerships with other auxiliary-related associations and groups to help with recruitment and retention of membership.
- Partner with the Director of Tennis Facilities and the Associate Director of Tennis Facilities to develop innovative and unique special events to enhance our member schedules.
- Drive member engagement and participation by preparing, organizing, and running exciting special events like the Flights Challenge and an in-house Singles League.
- Collaborate with the pro staff to create and execute a calendar of fun events for members and guests.
- Provides monthly insight into membership revenue and tracking to annual goals.
- Provide consistent, professional, and courteous customer service.
- Update member profiles as needed.
- Regularly run Club Automation reports as needed.
- Handle sensitive information in a confidential manner.
- Establish and maintain effective, cooperative, professional and courteous working relationships with team and colleagues.
- Engage in ongoing educational opportunities to update job knowledge.
Skills and Qualifications
- Dependability, communication skills, and an excellent work ethic.
- Knowledge of Club Automation.

- Customer service interaction experience with members, guests, and employees in

- Provide excellent customer service to both internal and external customers, partners, vendors.
- Excellent written and oral communication skills.
- CPR, First Aid and AED certified preferred.
- Strong organizational, problem-solving, and time management skills.
- Strong interpersonal, verbal and writing skills.
- Ability to manage multiple ongoing projects and a high level of initiative.
Key Performance Indicators: When reviewing this position during the year, the following will serve as performance indicators:
- Pre and Post-Season/Program Reviews performed by Supervisor (if applicable).

Supervisory Responsibilities: Not applicable.
Internal Relationships: Works primarily and directly with the Director of Tennis Facilities and the Senior Manager of Tennis Facility Operations. Interfaces as needed with the Tennis Pros, Facility Operations Coordinator or Marketing Coordinator to help direct new and existing members, non-members and guests to the appropriate contact.
External Relationships: Maintains high-quality customer service with members, non-members, and guests at USTA PNW Tennis Centers. Represent the mission and organization at all times.
Travel Demands: Other travel as needed to special events at USTA PNW-operated Tennis Centers.
Work Environment and Physical Requirements
- This position is performed out of a USTA-operated facility.
- The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job with reasonable accommodations given. This position requires the ability to:
- Operate standard office equipment, such as a computer (and its accessories), scanner, copy machine, printer, phone, or other home office equipment.
- Occasionally move office products and supplies, up to 30 pounds.
- Regularly required to talk, speak or hear.
- Required to use hands to finger, handle or feel; and reach with hands and arms.
- The ability to carry out repetitive motions regularly such as typing.
- The ability to respond to sounds and visual cues.
- The USTA PNW will comply with the Americans with Disabilities Act, and all amendments thereto, as well as any similar state laws and regulations. The USTA PNW will not discriminate on the basis of disability.
- This position may need to work evenings and/or weekends based on position needs but typically works a Monday-Friday schedule out of a home office.
Conditions of Hire
- This position serves the Pacific Northwest Section (specifically Vancouver Tennis Center and Mint Valley Tennis Center (and in the future, Camas Tennis Center). This position will require consistent support in relation to start-up facilities and on-site direction as dictated by business needs.
- Must have the ability to continually pass a background check.
- Must complete the USTA Safe Sport online education course. Eligibility to be SafePlay approved and remain SafePlay approved through tenure at USTA PNW.
- Must register within ADP Workforce Now (payroll platform) to ensure proper tax and payroll recording.
- Authorization to work within the United States administrated by a 3rd party vendor.
- Must sign the USTA PNW Offer Letter, Employee Handbook, and all required policies and procedures upon hire and as needed.
- Ability to fulfill the essential job functions as described with reasonable accommodations given.
Compensation and Benefits
- Compensation is based on the candidate's skills, qualifications, and relevant work experience. Hourly rate between $21-$23 per hour.
- Hourly rate details included in Offer Letter or other communications from the Human Resources team.
- Position is eligible for state and federal-mandated benefits such as Sick Time. Position currently ineligible for other health benefits as outlined in the signed Employee Handbook.
