Job description

Moving Doors is a tech-enabled property management and flexible living company providing fully furnished, design-led apartments for mid- to long-term stays. Operating across Limassol, Paphos, and Athens, the company combines hospitality standards with technology and operational excellence to deliver a seamless living experience for guests and property owners.

As we continue to expand, managing over 450 units, we are seeking a Senior Guest Operations Specialist & Onboarding Manager based in Athens to join our high-performing Operations team.

This role combines property onboarding, project coordination, and field operations responsibilities, ensuring that new apartments are launched efficiently and that existing units maintain the highest operational standards. The successful candidate will be a hands-on professional who thrives in a fast-paced environment, excels at coordinating multiple stakeholders, and takes ownership of projects from onboarding through operational readiness and ongoing support .

Key Responsibilities

Property Onboarding & Project Management

  • Coordinate and oversee the end-to-end onboarding of new properties.
  • Conduct initial property inspections and coordinate Matterport 3D scans.
  • Coordinate all operational activities required for property launch, including installations, cleaning, staging, and final setup.
  • Schedule and manage property photoshoots.
  • Ensure properties are operationally ready for launch and communicate readiness to internal stakeholders.
  • Monitor project timelines and ensure timely completion of onboarding activities.

Guest Operations & Field Coordination

  • Conduct initial and exit inspections of apartments.
  • Coordinate apartment access for contractors, utility providers, clients, and other authorized third parties.
  • Manage deliveries, inventory movements, and light maintenance activities.
  • Coordinate lock installations and apartment access solutions.
  • Support Guest Relations in resolving maintenance issues and operational requests.

Contractor & Vendor Management

  • Coordinate contractors, suppliers, and service providers across onboarding and operational projects.
  • Source, evaluate, and onboard new contractors.
  • Monitor contractor performance, quality standards, and project delivery.

Warehouse & Inventory Management

  • Maintain accurate warehouse inventory and logistics records.
  • Coordinate furniture, appliance, and operational equipment movements.

Utility & Administrative Coordination

  • Coordinate utility activations, internet applications, and service installations.
  • Maintain accurate project documentation, cost tracking, BOQs, and operational records.

Property Offboarding & Decommissioning

  • Manage apartment decommissioning and property exits.
  • Coordinate furniture and appliance recovery, inventory updates, warehouse transfers, and utility disconnections.
  • Ensure all operational and administrative requirements are completed prior to handover.
  • Minimum 3 years of experience in operations, project coordination, property management, hospitality operations, or a related field
  • Excellent organizational, communication, and time-management skills
  • Ability to work independently while effectively collaborating with cross-functional teams
  • Hands-on approach with a willingness to perform field-based operational tasks
  • Experience managing contractors, suppliers, or external vendors
  • Experience with inventory management systems will be considered an advantage
  • Valid driver's license and access to a personal vehicle (the role requires regular travel within Athens)
