Position Summary:
The Member Service Coordinator is responsible for granting access to the locked building, and greeting and handling all visitors and vendors that enter the NewBridge Community Center. They are also responsible for handling multiple tasks while at the front desk, including but not limited to logging transportation requests, processing service requests, etc. The position requires superior people skills to handle colleagues, residents and other guests of NewBridge. This person must be able to multi-task, handle stressful situations skillfully, and patiently and empathetically support our residents. The position requires basic computer and phone skills.
Position Responsibilities:
- Greets visitors and vendors entering NewBridge, making sure they sign in properly.
- Serves as a gatekeeper to the building, granting access to residents via the door security system. Ensures that all vendors entering the building have scheduled meetings or else are turned away appropriately.
- Receives all resident related requests in person, by telephone, and/or email in the following areas: trip and program reservations, requests for: engineering, IT, housekeeping, transportation requests for medical appointments, guest house reservations, and meeting space requests from residents and HSL employees.
- Logs all requests via help desk software (Building Engines).
- Graciously receives complaints and concerns. Reports these concerns to the appropriate staff members to assist in resolution. Assists in resolving resident issues and/or arranges solutions with other departments, and provides follow up confirmation and/or status of requests as appropriate.
- Answers all incoming calls to the front desk and relays the calls to the appropriate party courteously and efficiently.
- Anticipates and meets the needs of the residents.
- Responsible for the daily distribution of the newspapers to the library and the distribution of incoming mail to the appropriate personnel.
- Reserve conference rooms through Meeting Planner & Microsoft Outlook and perform other clerical duties as assigned.
- Coordinates trip lists, any change requests in coordination with Community Life and Transportation departments.
- Assists residents with copy, fax, and postage requests.
- Handles special projects, including the creation and/or maintenance of spreadsheets, lists, and databases, and conducts research as requested.
- Greets all visitors pleasantly and assists with directing them to the appropriate building.
- Welcomes and assists guests staying in the NewBridge guesthouse. Tasks include check-in, check-out, payment collection, and reservations.
- Other duties and responsibilities as assigned.
Qualifications:

- Excellent problem solving skills; uses good judgment and patience during emergencies and stressful situations

- Professional appearance and demeanor
- Flexibility to work varied shifts (when needed), including weekends and holidays
- High School diploma or equivalent
Working Conditions and Physical Demands
- Being neat, clean and wearing professional attire is required
- At times a fast paced environment
- Spends much of the time communicating with residents and their families by phone or in person
- Extended periods of sitting and talking on the telephone
- Subject to frequent interruptions
