ABOUT THE ROLE
The Subcontractor Compliance Coordinator is responsible for supporting the subcontract administration process by managing subcontractor prequalification, processing subcontract requests, and ensuring timely collection and tracking of insurance documentation. This role plays a critical part in maintaining compliance standards and facilitating smooth subcontract execution across projects. This position reports directly to the Subcontracts & Compliance Manager.

Essential Functions
- Manage the subcontractor prequalification process from initiation through approval.
- Review submitted prequalification packages for completeness and accuracy.
- Coordinate with subcontractors to obtain missing or updated documentation.
- Track prequalification status and maintain organized records.
- Assist in evaluating subcontractor eligibility based on company standards and risk criteria.
- Receive and process subcontract requests from internal teams (e.g., project management, procurement).
- Verify that all required documentation is submitted prior to subcontract issuance.
- Coordinate with internal stakeholders to resolve incomplete or incorrect submissions.
- Maintain accurate tracking of subcontract request status and turnaround times.
- Support timely issuance of subcontracts to avoid project delays.
- Collect and review Certificates of Insurance (COIs) for accuracy and compliance with contract requirements.
- Follow up with subcontractors and brokers to obtain compliant insurance documentation.
- Track insurance expiration dates and ensure timely renewals.
- Escalate non-compliant or high-risk items to the Subcontracts & Compliance Manager.
- Maintain up-to-date compliance records in internal systems (e.g., Viewpoint, myCOI or similar platforms).
- Serve as a primary point of contact for subcontractors regarding prequalification and compliance requirements.
- Provide clear and professional communication regarding outstanding items or deficiencies.
- Proactively follow up to ensure timely completion of required documentation.
- Support internal teams by providing status updates on subcontractor compliance.

ABOUT YOU
Qualifications
- High School Graduate.
- 1–3 years of related administrative or coordination experience.
- Construction or insurance industry experience preferred.
- Experience with compliance tracking software such as Viewpoint or myCOI preferred.
Knowledge/Skills/Abilities
- Familiarity with subcontract processes, COIs, and insurance requirements is a plus.
- Strong organizational and time management skills.
- Attention to detail with the ability to review documentation for accuracy.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Excel, Outlook, Word).
- Experience with compliance or project management platforms (e.g., Viewpoint, myCOI) is preferred.
- Detail-oriented with strong follow-through.
- Ability to manage multiple tasks and prioritize effectively.
- Strong customer service mindset when working with subcontractors.
- Proactive and solution-oriented.
- Ability to work in a fast-paced, deadline-driven environment.
Physical Demands
- Frequently works outdoors on uneven surfaces.
- May be required to sit or stand for long periods of time.
- May be required to stoop, bend, and crouch.
Work Environment
- Works in the Santa Fe Springs office 100% of the time.
- May work in varying weather conditions: hot, cold, and wet conditions.
- May occasionally work in areas with large industrial equipment subject to high noise levels and hazardous chemicals.

Compensation & Benefits
- Hourly Rate $27.50-$33.75/ hour (Non-Exempt)
- Commensurate with experience, paid weekly. Posted salary ranges are made in good faith. CSI reserves the right to adjust ranges depending on the selected candidate's qualifications.
