JOB SUMMARY
Reporting to the Director of the PMO, the Project Coordinator is the operational backbone of the Project Management team. Your mission is to provide administrative and tactical leverage to the Project Managers, enabling them to focus on strategic, client-facing activities. As a key partner to the PMs, you will learn the fundamentals of successful project delivery by ensuring the administrative and logistical health of projects. By owning these critical workflows, you will directly contribute to increasing project velocity, improving data accuracy, and ensuring the overall efficiency of the Professional Services division.
The ideal candidate is a process-oriented individual with a high degree of ownership and impeccable attention to detail. You are a master of organization who thrives on creating order and ensuring workflows run smoothly and efficiently.
KEY RESPONSIBILITIES
• Project Setup & Administration: Convert approved sales orders into project shells in our core systems, verifying the accuracy of all project data.
• Procurement & Logistics Coordination: Coordinate the procurement workflow by validating product lists, signaling readiness for purchase to the Finance team, and tracking all shipments and deliveries on behalf of the Project Manager.
• Scheduling & Coordination: Maintain the master resource schedule, manage high-priority scheduled tasks, and proactively identify potential resource conflicts.
• PMO Workflow & Data Integrity: Ensure the health and accuracy of our PMO tools (ConnectWise, TopLeft) by managing the weekly time entry compliance process and conducting regular audits of project cards to verify status updates and workflow adherence.
REQUIRED SKILLS AND QUALIFICATIONS
• 2+ years of experience in a project coordination, sales support, or operations role, preferably within an IT or professional services environment.
• A natural sense of ownership and a passion for process improvement.
• Exceptional organizational and time-management skills.
• Strong problem-solving skills and an interest in project management principles.
• Strong written and verbal communications skills.
• Experience with an MSP or using a PSA tool like Connectwise is a strong plus.
WORK LOCATION & SCHEDULE
• This role follows a hybrid schedule with the expectation of one in-office day per week during the off-season and up to four in-office days per week during peak season. Our headquarters are based in Brooklyn, NY.
• The hours for this position are Monday to Friday, 9am-5:30pm EST.
COMPENSATION
The salary range for this role is $60,000 - $80,000.

THE INTERVIEW PROCESS
