Job description

The Facilities Management Manager is responsible for the strategic and operational management of all company facilities across South Africa. This role ensures that offices, workplaces, and support facilities are safe, compliant, efficient, cost-effective, and aligned with business objectives. The Facilities Management Manager will oversee maintenance, vendor management, workplace services, health and safety compliance, space planning, security, sustainability initiatives, and capital improvement projects while delivering an exceptional workplace experience for employees and visitors.

Here's what you'll be doing:

Facilities Operations Management

  • Develop and implement facilities management strategies, policies, and procedures.
  • Oversee the day-to-day operation of all office locations and facilities across South Africa.
  • Ensure facilities are maintained to high standards of safety, functionality, and appearance.
  • Manage planned preventative maintenance programs and reactive maintenance activities.
  • Monitor facility performance and identify opportunities for continuous improvement.

Vendor and Contract Management

  • Source, evaluate, negotiate, and manage contracts with service providers and suppliers.
  • Oversee manpower, cleaning, security, landscaping, catering, maintenance, waste management, and other outsourced services.
  • Oversee procurement process for office supplies, furniture, equipment, etc.
  • Conduct regular vendor performance reviews and ensure compliance with service level agreements (SLAs).
  • Drive cost efficiencies while maintaining service quality.

Health, Safety, and Compliance

  • Ensure full compliance with South African occupational health and safety legislation and relevant regulations.
  • Assist in developing and maintain emergency preparedness and business continuity plans.
  • Lead workplace inspections, audits, and compliance reporting.
  • Manage incident investigations and corrective action plans.

Property and Workplace Management

  • Manage office space utilization, workplace planning, parking allocation, and office relocations.
  • Coordinate office fit-outs, refurbishments, and renovation projects.
  • Ensure facilities support employee productivity, wellbeing, and collaboration.
  • Develop workplace standards and best practices across all locations.

Financial Management

  • Prepare and manage annual facilities budgets and forecasts.
  • Monitor expenditure and ensure cost control across all facilities operations.
  • Identify opportunities for operational savings and process efficiencies.
  • Manage capital expenditure projects and procurement activities.

Security Management

  • Oversee physical security systems, access control, CCTV, and security service providers.
  • Ensure effective security procedures are implemented across all facilities.
  • Coordinate investigations relating to security incidents where required.

Sustainability and Environmental Management

  • Support corporate sustainability objectives through data collection, energy efficiency, waste reduction, and environmental initiatives.
  • Monitor utility consumption and implement cost-saving measures.
  • Promote environmentally responsible workplace practices.

Leadership and Stakeholder Management

  • Lead and develop facilities teams and regional support staff.
  • Build strong relationships with internal stakeholders, landlords, vendors, and regulatory authorities.
  • Provide regular performance reports and recommendations to senior management.
  • Act as the primary point of contact for facilities-related matters.

Here's what we are looking for:

  • Minimum 7–10 years of facilities management experience, at least 3–5 years in a management or leadership role.
  • Experience managing multiple office locations across South Africa.
  • Strong background in contractor and vendor management.
  • Proven experience managing operational and capital budgets.
  • Experience in corporate, commercial, or multinational environments preferred.
  • Experience with sustainability initiatives and energy management is desirable.
  • Strong leadership and team management skills.
  • Excellent organizational and project management abilities.
  • Knowledge of building systems, maintenance, and safety regulations.
  • Strong communication and interpersonal skills.
  • Hands-on, proactive approach.
  • Bachelor's degree in Facilities Management, Engineering, Property Management, Construction Management, Business Administration, or a related field.
  • Professional facilities management certification preferred (CFM, FMP, IFMA, or equivalent).
