Forefront Dermatology is Hiring - Full Time Surgical Scheduling Coordinator

The Surgical Scheduling Coordinator is responsible for coordinating and managing the scheduling process for dermatologic and Mohs surgical procedures across Forefront Dermatology clinics. This position serves as a key liaison between patients, providers, clinical staff, and insurance teams to ensure a seamless surgical experience from initial scheduling through post-procedure follow-up. The ideal candidate is highly organized, detail-oriented, patient-focused, and able to thrive in a fast-paced healthcare environment while maintaining accuracy and professionalism.

This is a fully onsite position requiring daily interaction with patients, physicians, and clinical staff.

Position Overview

The Surgical Scheduling Coordinator oversees all aspects of surgical appointment scheduling for dermatology and Mohs surgery services. This role ensures accurate scheduling, insurance verification, patient communication, and coordination with providers and clinic staff to maximize efficiency and deliver exceptional patient care.

Responsibilities

Essential Duties and Responsibilities

  • Schedule dermatologic and Mohs surgical procedures according to provider availability, procedural requirements, and patient needs.
  • Coordinate surgical appointments, consultations, and follow-up visits across multiple clinic locations when applicable.
  • Communicate procedure details, pre-operative instructions, and appointment expectations to patients.
  • Verify patient demographics, insurance information, referrals, and authorization requirements prior to scheduling.
  • Work closely with physicians, physician assistants, nursing staff, and administrative teams to optimize surgical schedules.
  • Manage scheduling changes, cancellations, reschedules, and urgent patient requests.
  • Ensure all required documentation, authorizations, and medical records are received and appropriately documented in the electronic medical record (EMR) system.
  • Monitor surgical schedules to maximize provider productivity and minimize gaps or conflicts.
  • Respond to patient inquiries regarding appointments, procedures, preparation instructions, and follow-up care.
  • Maintain accurate and confidential patient records in compliance with HIPAA regulations.
  • Assist with reporting, scheduling metrics, and workflow improvement initiatives.
  • Provide exceptional customer service while maintaining professionalism and empathy during patient interactions.
  • Support additional administrative and operational duties as assigned.

Qualifications

Required Qualifications

  • High school diploma or equivalent required.
  • Minimum of 1+ years of medical scheduling, healthcare administration, or patient coordination experience preferred.
  • Experience in dermatology, surgical scheduling, or specialty medical practice strongly preferred.
  • Knowledge of medical terminology, insurance verification, and prior authorization processes.
  • Proficiency with electronic medical records (EMR) systems and Microsoft Office applications.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Demonstrated commitment to patient-centered service and teamwork.

Preferred Qualifications

  • Experience with Mohs surgery scheduling.
  • Familiarity with dermatology workflows and procedural scheduling.
  • Knowledge of medical billing and insurance authorization requirements.
  • Bilingual skills are a plus.
