Summary:

This position, located within the Faculty & Administrative Support Services (“FASS”) Department of the American University, Washington College of Law, provides administrative and classroom support to over 100 faculty members. The Faculty Support Assistant duties include, but are not limited to -- providing timely review and accurate responses to faculty support requests such as creating/printing materials for the start of each semester (such as tent cards, photo rosters, seating charts), placing and tracking textbook orders, preparing and posting course syllabi, updating course information, posting announcements and, assignments to Canvas, placing room reservation requests via the event management system, preparing correspondence, making appropriate interdepartmental referrals, copying and scanning course information and materials. This position also assists in the coordination of activities at the information desks by welcoming and directing visitors. In addition, the incumbent may coordinate the completion of some tasks with assigned work-study and temporary employees, who assist FASS in the completion of faculty support requests and special projects.

Essential Functions:

1.) Faculty Support

  • Provides administrative support to faculty by compiling course materials, typing, copying/formatting/printing of documents, copying over/formatting course Canvas pages, posting course announcements and uploading files to Canvas, creating and printing seating charts, course rosters, and tent cards utilizing advanced knowledge of computer applications such as MS Office, SeatGen and Canvas. Provides logistical support to faculty by preparing classroom reservation requests using events management system and coordinating faculty assistance with other WCL departments (Facilities/Copy Center, IT, AV, Library, Special Events, etc.).

2.) Textbook Ordering and Tracking

  • Placing and tracking textbooks orders for faculty, in collaboration with AU’s bookstore partner, to ensure accurate and timely availability of course adoptions/materials for students and faculty.

3.) General Office Support

  • Assists FASS Manager with organization of supplies and office space, supply inventory, and ordering. Answers FASS phone line and assists/directs callers as needed. Assists walk-in faculty and community members with inquiries. Packages items and prepares labels for mailing/delivery. Ensures that all tasks are accurately entered into the Service Now ticket tracking platform and that work notes/ticket closures are submitted in a timely manner. Generates Service Now reports as requested.

4.) Departmental Support and Special Projects

  • Works with FASS colleagues to elevate faculty support by assisting with overflow assignments. Provides coverage during team member absences, including at the Information Desks, as needed. Assists with special projects as requested by the FASS Manager.

5.) Research/Scholarly Work Support

  • Conducts library and on-line legal research (Lexis-Nexis, Westlaw, Internet) for courses, special programs, and faculty scholarly work. Downloads, compiles, and prints materials as requested.

Position Type/Expected Hours of Work:

  • Part-time.

  • 27 hours per week.

Salary Range:

  • $26.00 - $27.50 per hour.

Required Education and Experience:

  • High school diploma or equivalent.

  • 1 - 3 years of relevant experience.

Preferred Education and Experience:

  • Bachelor's degree.

  • 3 - 5 years of relevant experience.

  • Experience in higher education or legal environment preferred.

  • Experience with Workday and Canvas Learning Management System preferred.

Additional Eligibility Qualifications:

  • Strong oral and written communication skills.

  • Excellent interpersonal skills and the ability to continuously prioritize tasks and collaborate with a variety of individuals under minimum supervision.

  • High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to quickly learn new technology platforms and processes with a minimum of instruction.

  • Ability to maintain composure, always acting courteously and professionally, while balancing multiple demands and priorities.

  • Must be able to utilize excellent judgment and discretion, particularly with respect to sensitive, confidential, and protected information.

  • Must be able to function within a high-pressure environment while meeting project deadlines.

  • Must exhibit a thorough knowledge of and compliance with university policies, procedures, and general information.
