Job description
The Facilities Management (FM) Intern will support the Office Management (OM) team in ensuring a safe, efficient, and well-maintained workplace environment. This role combines general office management responsibilities with hands-on facilities support, including workplace moves, space planning, vendor coordination, maintenance follow-up, and employee support services. The internship provides valuable exposure to workplace operations, facilities management, and corporate office administration.
Key Responsibilities
Facilities Management Support
•
Assist the Facility Manager with day-to-day facilities operations and workplace services.
•
Support office relocation, move management, workstation setup, and employee seating arrangements.
•
Coordinate office moves, including furniture, equipment, and employee communications.
•
Monitor office spaces and report maintenance issues, safety concerns, or repair requirements.
•
Assist with preventive maintenance schedules and follow up with vendors and service providers.
•
Support workplace inspections to ensure compliance with company standards and health & safety requirements.
•
Maintain accurate facilities records, floor plans, asset inventories, and workspace allocations.
Office Management Support
•
Provide administrative support to the OM team for daily office operations.
•
Assist with meeting room management, office supplies, and workplace organization.
•
Support onboarding and offboarding activities, including workspace preparation and equipment coordination.
•
Coordinate employee requests related to office facilities and workplace services.
•
Assist with office events, employee engagement activities, and workplace initiatives.
•
Support document management, filing, and reporting activities.
Vendor & Service Coordination
•
Liaise with contractors, building management, and service providers under supervision.
•
Assist in obtaining quotations and maintaining vendor documentation when required.
Qualifications
•
Currently pursuing a degree in Facilities Management, Business Administration, Hospitality Management, or a related field.
•
Strong organizational and administrative skills.
•
Good communication and interpersonal abilities.
•
Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
•
Ability to manage multiple tasks and work in a fast-paced environment.
•
Detail-oriented with a proactive and customer-service mindset.
•
Interest in workplace operations, facilities management, and office administration.
Preferred Competencies
•
Strong problem-solving and coordination skills.
•
Ability to work independently as well as part of an international team.
•
Willingness to learn about facility operations, workplace safety, and move management.
