About the Role: We are seeking an experienced and organised Contract Administrator to join our Kerb, Channel & Footpaths team based in Dunedin. This position will provide dedicated contract and administrative support across kerb, channel & footpath projects, ensuring effective contract administration, accurate documentation, timely processing of contractor claims and strong communication between site teams, suppliers and contract manager & team. The successful candidate will be detail focused, proactive and comfortable working in a busy delivery environment.
Key Responsibilities
•
Administer contract documentation for kerb, channel & footpath projects, including preparing and issuing variation notices, contract correspondence and schedule updates in line with company procedures.
•
Review and process progress claims, subcontractor invoices and payment schedules; verify quantities against site records and coordinate clarifications with project managers and site supervisors.
•
Maintain accurate project files and records (electronic and hard copy), including drawings, specifications, daily reports, quality records and health & safety documentation.
•
Support procurement activities: obtain quotes, prepare purchase orders, track deliveries and manage supplier documentation and warranties.
•
Coordinate programming and contract milestones with project teams; monitor key dates, extensions of time and contract milestones and escalate risks or delays as required.
•
Prepare clear, timely correspondence and reports for project managers, clients and subcontractors; support meeting coordination and take accurate minutes where required.
•
Ensure compliance with company policies and contractual obligations, and support the maintenance of quality, environmental and health & safety records on projects.
•
Use company systems to enter and maintain project information, timesheets, purchase orders and progress updates.
Qualifications and Skills
•
Proven experience in contract administration or commercial support within civil construction, roading or similar infrastructure projects preferred.
•
Good understanding of construction contracts, procurement processes and standard contract documentation used in New Zealand construction projects.
•
Strong numeracy and attention to detail with experience verifying quantities, processing invoices and preparing payment schedules.
•
Excellent written and verbal communication skills with the ability to interact professionally with site teams, subcontractors and clients.
•
Competent computer skills including Microsoft Office (Excel, Word) and familiarity with project management or accounting systems; comfortable using mobile devices and cloud-based file systems.
•
Organised, able to prioritise multiple tasks and work to deadlines in a dynamic project environment.
•
Knowledge of health, safety and environmental requirements for construction sites and willingness to complete site inductions as required.
