Job description
We are looking for a detail-oriented and proactive Operations & Logistics Executive to support our inbound sales operations and office administration. This role plays a key part in ensuring smooth order processing, inventory accuracy, and timely deliveries, while also providing shared services support across teams. Key Responsibilities Sales Operations & Order Management Work closely with the Sales team to understand product requirements and validate order quantities Analyse purchase orders and ensure accuracy before processing Update and manage orders in the ERP system Place purchase orders with suppliers in a timely manner Logistics & Supplier Coordination Liaise with suppliers on shipping schedules and follow up on order status Coordinate with freight forwarders and shipping providers for deliveries Manage customs clearance processes and ensure compliance Ensure timely and efficient delivery of goods Inventory Management Maintain accurate inventory records between physical stock and system data Monitor consignment stock levels and investigate discrepancies Support stock planning and replenishment activities Delivery Coordination Plan and coordinate dispatch schedules Oversee the deployment and utilisation of the delivery/dispatch team Reporting & Analysis Prepare and submit monthly operational reports to management Perform sales order analysis and identify trends or issues Support cost–benefit analysis and process improvement initiatives Shared Services & Administration Provide administrative and operational support to The Air Station Coordinate internal requests and ensure smooth day-to-day office operations Support cross-functional teams with administrative processes Requirements Bachelor’s degree in Business Administration, Supply Chain, Logistics, or a related field 2–5 years of experience in sales operations, logistics, supply chain, or a similar role Experience working with ERP systems (e.g., Business Central or Navision, or similar) Strong organisational skills with high attention to detail Good understanding of inventory management and logistics processes Experience coordinating with suppliers and freight forwarders is an advantage Ability to manage multiple tasks and meet deadlines in a fast-paced environment Strong analytical and problem-solving skills Proficient in Microsoft Excel and reporting tools Good communication skills and ability to work with cross-functional teams
