Job description
The Warehouse Invoicing is responsible for the accurate preparation, verification, and processing of sales invoices in accordance with company policies and client requirements. This role ensures timely billing, proper documentation, and coordination with internal departments to support smooth financial operations and revenue recognition. Work Schedule: Night Shift Job Description Prepare and issue accurate sales invoices based on approved sales orders, delivery receipts, and contracts. Verify pricing, quantities, discounts, tax computations (VAT/Withholding Tax), and payment terms before invoice release. Ensure invoices are generated within the required timeline to support timely collections. Maintain organized and complete invoice records (hard copy and electronic). Ensure proper attachment of supporting documents (POs, DRs, contracts, etc.). Monitor invoice transmittal and acknowledgments from clients. Coordinate with Sales and Logistics regarding delivery discrepancies and billing concerns. Work closely with the Credit & Collection team to ensure accuracy of receivables. Respond to client inquiries regarding billing issues, invoice copies, or discrepancies. Assist in monitoring outstanding invoices and aging reports. Support monthly reconciliation of invoicing records with Accounts Receivable ledger. Identify and report billing errors or inconsistencies for correction. Ensure compliance with accounting standards, company policies, and regulatory requirements. Maintain confidentiality of financial information and client data. Support audit requirements by providing necessary invoice documentation. Use accounting systems, ERP, and spreadsheets to process and track invoices. Generate reports related to billing and revenue as required by management. Perform other tasks that may be assigned either individually or as part of a committee. Requirements Proven experience as Invoicing Associate, Billing Clerk, Accounting Clerk, or equivalent role. Experience in handling B2B invoicing is an advantage. Strong knowledge of basic accounting principles. Proficiency in MS Excel and accounting software. Understanding of VAT, withholding tax, and billing procedures. Bachelor’s Degree in Accounting, Finance, Business Administration, or related field. Willing to work or relocate to Mandaluyong City
