Role Summary (Core Function)
The Regional Facilities Manager reports into the Account Lead, EMEA & KSA for the client contract, and has oversight of Facilities Management (FM) services for the client’s EMEA portfolio. The role drives operational performance by meeting key performance indicators (KPIs), delivering savings, and demonstrating continuous improvement in service delivery, while ensuring a high level of client satisfaction.
This role requires a dynamic and experienced Facilities Manager to lead and coordinate workplace operations and services across the Munich, Sweden, Switzerland, Austria & Saudi Arabia locations in support of a European FM contract.
Key Objectives
Deliver best-in-class workplace (FM) operations and coordination of services for the client and its people.
Manage and develop the relationship with the regional client stakeholders.
Ensure a regional strategy is in place, delivered, and aligned with global client and C&W standards.
Develop a strong understanding of the client’s business and requirements; align resourcing and provide strategic direction where needed.
Work with client and C&W global teams to ensure consistent delivery of services.
Provide formal and informal management information demonstrating contract performance against requirements.
Assume regional accountability for risk management matters
Be accountable for service delivery against the regional client FM Opex/Capex budget and appropriate allocation of resource.
Principal Responsibilities
Act as the C&W regional FM across the client account in EMEA
Develop an understanding of the client’s business and be comfortable advising on consistent FM service delivery across the Regional portfolio.
Manage day-to-day operations for the facilities helpdesk and workplace services, including M&E, waste, cleaning, and associated vendors.
Manage new and existing supply chain partners and statutory compliance requirements.
Complete supply chain evaluation and provide recommendations to achieve consistency of service.
Provide advice to the client on risk management matters, including supporting new locations added through acquisition.
Understand Business Continuity Management requirements and how FM supports critical business functions.
Provide advice to the client on sustainability matters; maintain awareness of industry insights, trends, and legislation.
Maintain continuous communication with the Account Lead and facilities teams; ensure escalations are handled in line with agreed processes.
Prepare budgets to maintain service levels per client requirements; capture savings, initiatives, and improvements.
Plan for future development in line with strategic business objectives.
Ensure achievement of contract KPIs; monitor performance and implement improvement plans where required.
Monitor, drive, and report cost savings across the supply chain; continuously drive value and cost reduction.
Ensure best practice in accordance with C&W’s Quality Management System and agreed account processes.
Monitor Health & Safety programme performance and ensure follow-up on identified risks and actions.
Organise and host regular meetings with the client; provide clear reporting and action tracking.
Support preparation of monthly and quarterly reports demonstrating performance against savings targets and KPIs.
Ensure implementation of standard tools and processes; ensure Site Operating Manuals are in place for all sites.
Liaise with wider C&W support teams as new client sites come into scope.
Support site closures, relocations, and transitions of new sites in collaboration with the Account Lead
Keep workplace experience at the heart of service delivery and continuous improvement.
Knowledge
Commercial awareness of outsourced managed services contracts.
Facilities Management processes and best practice.
Health & Safety legislation relevant to the FM industry.
Supply chain management and vendor performance management.
Skills & Experience
Excellent communication, presentation, and negotiation skills.
Experience managing operational budgets in an FM contract environment (Opex/Capex).
Proven ability to build and maintain strong client relationships in a demanding environment.
