Job Description

We have an exciting and unique dual-focused opportunity for a proactive professional EA & Events Coordinator to support two senior leaders while managing high-impact event logistics. Supporting the Melbourne Sales Director and Digital Audio Sales Director, you will streamline administrative priorities and corporate hospitality to ensure the flawless execution of major market events and commercial partnerships, as well as providing general station management support.

Note on Ownership: Nine Radio is proud to have recently joined Tapt Media. While this recruitment process is being managed by Nine under a transition of services agreement, the successful candidate will be employed directly by Tapt Media.

Day to day you will:

  • Oversee and proactively manage dual diaries to protect strategic focus time for leadership.

  • Monitor market engagement to ensure regular connection with key clients and business contacts.

  • Collate briefing materials, coordinate meeting agendas, prepare crucial presentation documentation, map out next steps, and diligently track action items for follow-up.

  • Manage end-to-end travel bookings and efficiently reconcile corporate expenses.

  • Provide end-to-end logistical and guest-list support for Tier-1 market events and premium corporate hospitality suites.

  • Take full ownership of the contra portfolio, leading negotiations, tracking usage, and reporting on overall ROI.

  • Oversee the allocation and distribution of general event ticketing and dynamic AFL season tickets.

  • Assist General Business Managers by coordinating catering and flawless logistics for in-agency activations.

Qualifications

What you’ll bring:

  • Demonstrated experience as an Executive Assistant, ideally supporting multiple senior leaders simultaneously.

  • Success in corporate event coordination, guest-list management, and premium hospitality logistics.

  • Strong commercial mindset with experience managing, negotiating, and tracking vendor or contra agreements.

  • Ability to prioritise tasks, multi-task, and maintain meticulous attention to detail in a fast-paced media environment.

  • High-level communication skills to interface professionally with high-value external clients and internal agencies.

  • Proficiency in digital tools for calendar management, travel booking software, and expense reconciliation.

  • A solution-oriented, self-motivated approach to supporting a dynamic sales leadership team.
