Job Summary
The Communications Project Specialist is a full-time, locally based role responsible for supporting Bible Media Group's communications, strategic initiatives, and global partnership efforts. This position plays a critical role in advancing BMG's mission by strengthening and maintaining key ministry partnerships, coordinating cross-functional projects, managing internal and external communications, maintaining organizational systems and data, providing administrative support and ensuring initiatives move forward efficiently across multiple departments.
The ideal candidate is highly organized, detail-oriented, and proactive, with strong project coordination along with excellent communication skills, database analysis and management experience, and the ability to manage details while understanding the bigger picture within a global, ministry-focused, and media-driven environment.
Essential Duties and Responsibilities

Project & Administrative Support
- Develop and maintain a strong understanding of Bible Media Group, OneHope, their mission, organizational structure, and ministry initiatives, and key stakeholders to effectively support leadership and organizational priorities.
- Coordinate communication and follow-up with ministry partners, vendors, contractors, and internal stakeholders to support project execution and organizational priorities.
- Support the Global Partner Manager in cultivating and maintaining strong partner relationships through meeting coordination, follow-up communication, documentation, travel logistics, and ongoing relationship management.
- Provide comprehensive administrative, project coordination, and organizational support to Bible Media group leadership and teams.
- Coordinate project workflows, timelines, action items, and deliverables across multiple departments and partner organizations and initiatives.
- Support document and data preparation, tracking, organization, and compliance in collaboration with leadership and external partners.
- Help ensure internal processes align with organizational policies and best practices.
- Assist with routing, tracking, and maintaining contracts, agreements, and related documentation as needed.
- Prepare meeting materials, capture action items, and coordinate project follow-up to support accountability and timely completion of deliverables.
- Organize documentation and maintain project resources, playbooks, and standard operating procedures to improve organizational effectiveness esp. in communications and partnerships.
Database, Systems & Analytics
- Maintain accurate partner information within CRM and organizational databases to support relationship management, reporting, and strategic decision-making.
- Track partner engagement, communications, agreements, and project milestones to ensure consistency and accountability.
- Assist in developing and improving systems, workflows, and documentation that enhance collaboration with global ministry partners.
- Prepare reports, dashboards, and analytics that support leadership, partner engagement, and ministry impact reporting.
- Maintain organized records for licensing, partnerships, communications, and project documentation.
Media & Production Support
- Assist in developing communication materials that strengthen partner engagement, including presentations, speaking notes, newsletters, promotional copy, and ministry updates.
- Draft content for partner communications, internal initiatives, events, and media projects while ensuring consistency with Bible Media Group's voice and mission.
- Coordinate communication between internal departments and external partners for media, production, and content initiatives.
- Provide logistical and project support for film, media, and production-related initiatives (knowledge of production workflows is a plus).
- Contribute creative ideas for storytelling, presentations, campaigns, and partner engagement opportunities.
- Support global ministry initiatives by ensuring communications demonstrate cultural awareness and align with organizational values.
Qualifications
- Minimum of 3 years of administrative support or project coordination experience
- Bachelor’s degree preferred, or equivalent professional knowledge
- Experience maintaining effective working relationships with internal teams, vendors, and external stakeholders is preferred
- Experience maintaining databases, mainly CRM systems, or organizational tracking systems; analytics and reporting experience is a plus
- Experience supporting contracts, agreements, documentation, or other administrative processes
- Understanding of or experience with global ministry or nonprofit work preferred
- Manage special projects and additional assignments as requested
- Knowledge of film, media, or production environments is a plus
Skills and Abilities
- Proficient in Microsoft Office Suite, Project Management platforms, database/CRM systems, and both macOS and Windows operating systems
- A fluent knowledge of English and effective verbal and written Spanish is preferred
- Ability to manage confidential information with integrity and discretion
- Excellent communication and interpersonal skills, capable of maintaining strong partner relationships
- Exceptional time management, organizational, and multitasking skills with strong attention to detail, accuracy, and follow-through.
- Ability to work independently while executing multiple priorities with minimal supervision
