The Role

We make products all over the world, and our promise to customers is simple: deliver them beautifully made, perfectly finished, and on time. As our Manufacturing Coordinator, you will provide vital administrative and operational support to our Manufacturing department, with a primary focus on our Made-to-Order (MTO) production. This is a detail-oriented, high-impact support role. You won’t just be inputting numbers; you will ensure absolute data accuracy across our systems, keep a keen eye on quality by checking Qarma QC reports, and ensure our ordering pipelines run flawlessly.

What You’ll Do

Production Administration & Ordering

  • Track all supplier production timelines and lead times for open purchase orders.
  • Manage weekly ordering and oversee the monitoring of lead times and delivery updates for MTO products.
  • Create new SKUs and EANs within our inventory and ERP frameworks.
  • Meticulously check, verify, and approve incoming supplier invoices against ordered quantities.
  • Maintain Brightpearl and internal manufacturing trackers with accurate, real-time data.

Quality Review & Claims Tracking

  • Review incoming Qarma QC inspection reports, ensuring complete accuracy and flagging any product defects.
  • Build clear, concise quality reports based on Qarma data to be fed back directly to our suppliers.
  • Review customer claim data, validate details against original inspection records, and keep central claim logs updated.

Communication & Coordination

  • Compile weekly production reports highlighting upcoming shipments and capacity risks.
  • Keep the wider team updated with accurate, clear customer delay information.
  • Liaise directly with suppliers to prompt for packing lists, EXF dates, and order book updates.
  • Ensure all relevant manufacturing documentation (packing lists, shipment notices, QC reports) is organised and fully traceable.

What We’re Looking For

  • The Detail Fanatic: Exceptional attention to detail and data accuracy. You spot a mismatched invoice line or a skipped system field from a mile away.
  • The Administrator: Proven experience in production coordination, buying administration, or supply chain support—ideally working with upholstery or furniture categories.
  • The Analyst: Comfortable working with data trackers, checking QC or manufacturing reports (such as Qarma), and pulling together clear summaries.
  • The Communicator: Strong written and verbal communication skills. You can explain a delay to internal teams clearly and maintain professional communication with international suppliers.
  • The Organiser: Highly organised and proactive, with the ability to manage timelines across multiple ongoing MTO batches.
