true. Women's Health , a Partner Practice of Together Women's Health , is seeking a full time Patient Care Coordinator to join their growing team. We are seeking a professional, compassionate, and motivated Patient Care Coordinator to join our concierge medical practice. This key role bridges exceptional patient service with business development efforts, ensuring an outstanding experience for current and prospective patients while helping the practice grow. You will be the first impression for potential patients, manage onboarding, and coordinate ongoing care to maintain strong patient relationships.

Responsibilities

Key Responsibilities

  • New Patient Development:
  • Respond promptly to patient inquiries (phone, text, email, website) with professionalism and warmth.
  • Conduct consultations with prospective patients to explain concierge services, membership benefits, and pricing.
  • Maintain and update a pipeline of prospective patients, following up consistently.
  • Meet or exceed new patient acquisition goals.
  • Patient Experience and Coordination:
  • Serve as the liaison between patients and clinical staff, ensuring seamless communication.
  • Welcome and orient new patients, providing necessary onboarding materials and guidance.
  • Schedule appointments, tests, and procedures with accuracy and efficiency.
  • Coordinate specialty referrals and manage patient follow-up communications.
  • Assist with patient satisfaction initiatives, surveys, and retention strategies.
  • Office Administration:
  • Maintain detailed and confidential patient records in EMR system.
  • Process membership renewals and assist with billing inquiries related to concierge services.
  • Support marketing initiatives such as newsletters, events, and educational seminars.

Qualifications

Qualifications

  • 2+ years of experience in medical office administration, healthcare sales, or concierge healthcare setting.
  • Excellent communication skills, both written and verbal.
  • Strong sales and customer service orientation.
  • Proficient in EMR software, Microsoft Office Suite, and CRM systems.
  • Ability to multi-task, prioritize, and thrive in a fast-paced environment.
  • Professional appearance and demeanor.
  • High school diploma or equivalent required; Associate's or Bachelor’s degree preferred.

Preferred Skills

  • Background in healthcare marketing or membership-based services.
  • Knowledge of HIPAA compliance standards.
  • Prior experience in luxury service industries (concierge, hospitality, private healthcare).
