As Shamal Holding continues to grow, we’re in search of an Executive Assistant . In this role, you will be Managing administrative tasks, coordinating schedules, and providing essential assistance to the management team to ensure smooth operations.
Responsibilities
- Provide comprehensive administrative support to senior management, including calendar management, meeting coordination, and correspondence handling.
- Act as the primary point of contact for internal and external stakeholders, ensuring clear and effective communication.
- Organise and maintain documents, records, and files, including operational, compliance, and regulatory documentation.
- Arrange and coordinate meetings, conferences, and appointments, ensuring optimal use of executive time.
- Conduct research and compile data and reports to support decision-making and strategic planning.
- Support special projects and initiatives with administrative and logistical coordination.
- Execute additional tasks as assigned by senior management, demonstrating flexibility and adaptability.
- Coordinate and track timelines across multiple projects, ensuring milestones and deadlines are met.
- Maintain and manage centralised project schedules and trackers.
- Follow up with stakeholders and project teams on deliverables and status updates.
- Prepare reports, dashboards, and presentations for senior leadership review.
- Maintain visibility on project status, risks, dependencies, and key deliverables.
- Support planning sessions, documentation, and execution of strategic initiatives.
- Assist with resource planning, prioritisation, and scope/change management documentation.
- Identify bottlenecks or delays and escalate issues to relevant stakeholders when required.
- Ensure alignment of project activities with overall business objectives and timelines.
- Facilitate cross-functional communication and collaboration across teams.
Qualifications
- Bachelor's degree in business administration, management, or a related field.
- Associate's degree or certification in office administration, secretarial studies, or a relevant area may also be acceptable.
- A minimum of 2 years proven experience in administrative support roles, preferably in a similar industry or environment
