Overview

The Workplace Experience Coordinator is the heartbeat of the office. You will be the first person employees and visitors encounter each day, and the one they turn to when they need something done — whether that is a room set up, a supply ordered, a problem solved or simply a friendly face that makes the workplace feel welcoming. This is a hands-on, people-first role that blends front-of-house hospitality with day-to-day office coordination. You will work closely with the wider facilities and workplace team — both on-site and nationally — to keep the office running smoothly, respond quickly to employee needs, and continually raise the bar on the experience you deliver.

You will be visible, proactive, and solution-oriented. If something is not working, you will notice it and fix it. If someone needs help, you will be there before they must ask twice.

The base salary is aligned with market data and is estimated between $60,000 to $65,000 with the ability to achieve additional compensation through bonus. This salary range reflects base compensation for the position across all US locations. Within this range, individual pay is determined by work location and other factors including relevant education/training, experience, and internal equity.

Responsibilities

Visitor & Employee Experience

  • Serve as the first point of contact for all employees and visitors entering the office — delivering a warm, professional welcome every time
  • Greet and direct visitors, notify the relevant host of their arrival and ensure every guest feels looked after
  • Provide high-touch support to employees throughout the day: wayfinding, equipment, information, and anything else they need to work effectively
  • Act as the first line of response for technology and facilities concerns — troubleshoot where you can, escalate promptly where you cannot, and always follow up
  • Support employees working in unassigned or oversubscribed environments, helping them navigate processes, equipment and workspace etiquette
  • Capture employee feedback — both formally and informally — and share insights with the wider team and leadership to drive continuous improvement

Space & Facilities Readiness

  • Conduct daily walkthroughs to assess space readiness, ensuring all workspaces, conference rooms and common areas are clean, safe and employee-ready
  • Coordinate meeting room set-up and ensure spaces are configured correctly ahead of time
  • Identify and report facilities or maintenance issues; follow up to ensure resolution
  • Support return-to-office safety guidelines, best practices and standards as required

Pantry, Supplies & Office Management

  • Manage pantry and office supply inventories — establishing regular order lists, monitoring stock levels and reordering before supplies run low
  • Master the supply ordering system; reconcile deliveries, receipt goods accurately and approve related invoices
  • Ensure kitchens, pantries and supply areas are always well-stocked and tidy
  • Coordinate incoming and outgoing mail — analyzing, sorting and distributing to the right people

Events & Conference Coordination

  • Coordinate conference room bookings, catering, invitations and logistics for internal meetings and events
  • Support or manage the office lunch program where established
  • Assist with the planning and coordination of employee experience events as required

Communications & Administration

  • Monitor and manage Slack, Jira and email channels — resolving queries, assigning work and ensuring nothing falls through the cracks
  • Maintain an accurate and up-to-date office events calendar
  • Coordinate production and distribution of reports, proposals, and other materials as required
  • Support basic travel arrangements for the team as needed
  • Ensure all company policies and workplace protocols are followed and reinforced
  • Meet regularly with the national workplace team to contribute to and build the wider program of services

Qualifications

  • Genuinely people-oriented — hospitality runs through everything you do Minimum 2 years' experience in workplace services, hospitality, retail or a related field Warm, positive and proactive by nature.
  • Four-year degree preferred; high school diploma with 4–7 years' relevant hospitality experience also considered
  • Calm under pressure; able to prioritize in a fast-paced environment Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Exceptional attention to detail — you notice what others miss Comfortable using laptop, mobile and wireless technologies
  • Strong communicator at all levels, including with senior stakeholders Experience with Coupa, Concur, SharePoint or Smartsheet (desirable)
  • High emotional intelligence and empathy Familiarity with workplace tools such as visitor management or resource booking systems (desirable)
