JOB OVERVIEW
The Legal Assistant will support our legal team in delivering high-quality legal services. This role involves providing administrative and paralegal support, managing legal documentation, liaising with clients, and ensuring compliance with Australian legal and regulatory requirements.
The ideal candidate will have strong attention to detail, excellent organisational skills, and the ability to work in a fast-paced legal environment. Prior experience in an Australian law firm, in-house legal team, or professional services firm is highly regarded.
DUTIES AND RESPONSIBILITIES
- Administrative & Legal Support
- Provide day-to-day administrative and secretarial support to lawyers and legal teams.
- Draft, format, proofread, and manage correspondence, legal documents, and contracts.
- Document drafting for wills and estates (i.e., wills, powers of attorney, enduring guardian documents, etc.)
- Assist in preparing court documents, legal filings, and compliance paperwork.
- Maintain accurate and up-to-date filing systems, both electronic and physical.
- Client & Stakeholder Management
- Act as the first point of contact for clients, handling inquiries in a professional and confidential manner.
- Schedule appointments, coordinate meetings, and manage calendars for lawyers.
- Assist in liaising with government agencies, corporate bodies, and/or clients.
- Case & Matter Management
- Support case preparation, including gathering evidence, and legal research.
- Monitor matter progress and ensure deadlines (court lodgements, filings, compliance dates) are met.
- Manage billing, timesheets, and expense tracking in line with firm processes.
- Compliance & Legal Systems
- Ensure adherence to Australian legal practices, confidentiality requirements, and ethical standards.
- Maintain client records in compliance with data protection and law society guidelines.
- Use practice management software (e.g., LEAP or similar and software integrations) to manage documents, tasks, and workflows.
- Adhoc Support
- Social media assistance in creating tiles in Canva (and possibly scheduling posts)
- Putting together and scheduling newsletter (which is currently quarterly, but may become more frequent)
- Ad hoc services (i.e. organising Christmas hampers or drafting emails in reply for clients, etc).
QUALIFICATIONS
- Education
- Degree in Law, Legal Services, Paralegal Studies, Business Administration, or other related fields (preferred).
- Experience
- 2-3+ years’ experience as a Legal Assistant, Paralegal, or Legal Secretary within an Australian law firm or corporate legal team.
- Familiarity with Australian court systems, legal terminology, and procedures.
- Experience using legal practice management software (e.g., LEAP or similar and software integrations) is advantageous
- Skills & Competencies
- Excellent written and verbal communication skills.
- Strong attention to detail, accuracy, and confidentiality.
- Highly organised with the ability to prioritise tasks and meet deadlines.
- Strong proficiency in Microsoft Office Suite and document management tools.
- Ability to work collaboratively with legal professionals and provide outstanding client service.
