POSITION SUMMARY
The Event and Administration Coordinator plays a pivotal role in supporting The Business School’s strategic engagement, communications, and operational activities. This position is responsible for the end-to-end coordination of a diverse portfolio of events, including academic conferences, industry engagement initiatives, alumni and student activities, staff events, and flagship school-wide programs. The role requires a highly organised and detail-oriented professional who can manage complex event logistics, provide high-quality administrative support, and coordinate effectively with internal and external stakeholders. Working closely with academic and professional staff, the coordinator helps ensure the successful delivery of events and initiatives that enhance The Business School’s reputation, strengthen stakeholder relationships, and support its strategic objectives.
Key Accountabilities Summary
Event Planning and Coordination
- Support the planning and delivery of The Business School’s events and engagement activities, including conferences, industry events, student and alumni activities, and staff events.
- Coordinate event logistics such as venue setup, catering, audiovisual requirements, registration, transportation, and onsite support.
- Prepare event materials, including run sheets, briefing documents, invitations, programs, and promotional content.
- Liaise with internal stakeholders and external suppliers to ensure event requirements are met and activities run smoothly.
- Assist with event administration, including budget tracking, procurement, participant communications, and post-event reporting.
- Provide general event support and undertake other duties as required to contribute to the successful delivery of The Business School’s activities.
Administrative Tasks
Manage the inventory and distribution of event materials, merchandise, and office supplies as required.
Support procurement and payment processes, including obtaining quotations, preparing documentation, raising purchase requests, and following up on payments in accordance with university procedures.
Maintain accurate records of event and operational expenses and assist with budget tracking and reporting.
Assist in the preparation of reports, presentations, communications, and other materials as required.
Coordinate with internal stakeholders and external suppliers to support the delivery of events, projects, and operational activities.
Undertake other administrative and operational duties as required to support the effective functioning of The Business School’s Events and Communication Team.
Other duties commensurate with the scope of the role.
Key Selection Criteria
Bachelor degree and/or Master's degree in business/marketing
Minimum 1 year of experience in event management, marketing or advertising, especially in education
Demonstrated experience in coordinating & implementing events
Demonstrated high level of organisation & arrangements
Proficiency in Adobe Illustrator, Canva, or similar design software, photography, videography, and video editing skills is a plus.
Ability to support the creation of visual and digital content for events and communications activities.
Ability in dealing with different stakeholders in managing expectations, resources and achieving agreed outcomes
Demonstrated high-level written communication skills in both Vietnamese and English
Ability to work independently and also participate as a productive team member
Ability to display appropriate behaviours in line with the position, as per the RMIT Values
