We are looking for Fleet & Office Services Specialist who will be responsible for supporting the day-to-day management of the company's leased vehicle fleet and office services. The role ensures smooth fleet operations, coordinates with suppliers, supports sourcing activities, and assists in maintaining office service contracts and operational requirements.

What will you do?

Fleet Management:

  • Coordinate day-to-day fleet operations, including vehicle requests, quotations, ordering, deliveries, handovers, returns, and contract renewals.
  • Administer fleet documentation, vehicle allocations, driver authorizations, and related records.
  • Coordinate with leasing companies regarding accidents, replacements, and other operational matters.
  • Manage fuel card administration and monitor fuel-related activities.
  • Review fleet invoices and coordinate with Finance and suppliers to resolve discrepancies.
  • Prepare fleet reports covering vehicle status, contract expiries, utilization, and operational costs.
  • Support sourcing activities for fleet requirements and maintain effective relationships with approved suppliers.
  • Ensure fleet operations comply with company policies and procedures.

Office Services Support:

  • Support sourcing and administration of office service contracts, including cleaning, security, maintenance, pest control, hospitality, and office furniture.
  • Coordinate corporate mobile communication services, including SIM card administration, service requests, and liaison with telecom service providers.
  • Coordinate with suppliers to ensure timely delivery of agreed services.
  • Support contract follow-up and supplier performance reviews.
  • Assist with accommodation-related activities whenever required.
  • Support office operational requests and coordinate with internal stakeholders to ensure efficient service delivery.

General Responsibilities:

  • Coordinate with Procurement, Finance, HR, and other stakeholders to support operational activities.
  • Maintain accurate operational records and documentation.
  • Identify operational improvement opportunities and support cost optimization initiatives.
  • Perform other related duties as assigned by the line manager.

Are you the one?

  • Bachelor degree in Business Administration or related field.
  • 2-5 years in fleet management / Administration / Facility.
  • Excellent communication, coordination and follow up skills.
  • Strong problem-solving and analytical skills.
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent English & Arabic communication skills.
