Overview
The Proposal Coordinator will support our Business Development team across multiple utility clients and programs. This role will be responsible for managing proposal execution from kickoff through submission, ensuring all deliverables are completed on time, compliant with client requirements, and aligned with company standards.
This position will work closely with BD Directors, engineers, and project managers to coordinate proposal efforts, maintain tracking systems, and support the overall pursuit process. The Proposal Coordinator is highly organized, detail-oriented, and capable of managing multiple deadlines in a fast-paced environment.
Responsibilities
- Develop and manage proposal schedules, milestones, and deadlines to ensure on-time delivery.
- Coordinate with engineering teams to gather resumes, project experience, and technical inputs.
- Track all pursuits and proposal activity within the BD master tracker.
- Ensure compliance with RFP/RFQ requirements, including formatting and submission guidelines.
- Prepare, format, and assemble proposal documents, including cover letters, resumes, and project sheets.
- Manage final submission process, including online portals and document packaging.
- Maintain proposal templates, boilerplate content, and document standards.
- Support Go/No-Go processes by organizing materials and coordinating internal reviews.
- Facilitate proposal kickoff meetings and ensure alignment across teams.
- Follow up with internal stakeholders to ensure timely completion of assigned tasks.
- Identify process improvements to increase proposal efficiency and consistency.
- Other duties as assigned.
Qualifications
Required
- Bachelor’s degree in business, communications, or related field (or equivalent experience).
- 3+ years of experience in proposal coordination, project coordination, or similar role.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Ability to manage multiple deadlines and priorities simultaneously.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
Preferred
- Experience supporting engineering, consulting, or utility-related proposals.
- Familiarity with RFP/RFQ processes and compliance requirements.
- Experience with proposal management tools or CRM systems.
- Understanding of power delivery or infrastructure projects.

Wage Data Per State Requirements
Pay range for this position is $65,000 - $80,000. The starting pay will be commensurate with skill, education, experience, and working environment.
