Engineering Coordinator – Project Administration (Part-Time)

Engineering Coordinator - Project Administration (Part-Time) Up to 29 hours per week | Hours may vary
Do you have at least three years of experience supporting engineering, construction, utilities, project management, procurement, or financial reporting? We're looking for an organized, analytical professional with strong Excel skills who can keep complex projects documented, on schedule, and moving forward.
What You'll Do
You'll support City Utilities Engineering leadership and project teams with the administration, tracking, and reporting of capital improvement projects. This role connects engineering, construction, finance, procurement, and outside partners to help ensure projects are properly documented, budgeted, scheduled, and reported.
Key Responsibilities
- Maintain project records, schedules, budgets, forecasts, milestones, and closeout documentation within project management systems
- Prepare capital project reports, dashboards, performance metrics, financial analyses, and updates for management and executive leadership
- Review project information for missing or outdated details and follow up with project managers and stakeholders on outstanding actions
- Coordinate bidding, procurement, consultant selection, contracts, amendments, and change-order documentation
- Organize meetings, track action items, support process improvements, and promote consistency across the capital project portfolio
Supervisory Responsibilities
- Direct the team's daily workflow and help establish priorities
- Train team members and other staff on project processes and systems
- Provide information and feedback used in performance reporting to senior leadership
What You Bring: Education & Experience
- Associate degree in Business Administration, Construction Management, Engineering Technology, Project Management, Finance, or a related field; bachelor's degree preferred
- Relevant engineering, construction, or project administration experience may be considered in place of education
- At least three years of experience supporting engineering, construction, utilities, infrastructure, procurement, financial reporting, project controls, or related work
- Experience with capital improvement programs, project management systems, or financial reporting preferred
- Municipal, utility, public works, or consulting engineering experience is a plus
Preferred Certifications
- Construction Documents Technologist certification or the ability to obtain it within 18-24 months of hire
- Project Management Professional certification
- Valid Indiana driver's license if operating a City vehicle
Technical Skills & Knowledge
- Advanced Microsoft Excel and Microsoft Office skills
- Experience using project management, financial reporting, or dashboard systems
- Understanding of project schedules, budgets, contracts, procurement documents, and construction project lifecycles
- Strong analytical, organizational, communication, and problem-solving skills
- Ability to manage multiple priorities, maintain accurate data, and drive accountability without direct supervisory authority
