Position Summary

As an integral member of the Advancement team, the Annual Giving Coordinator is responsible for the design, execution, and management of a comprehensive annual giving program, including coordination and collaboration with supporting initiatives in the areas of advancement services and donor relations.

This position will oversee direct mail and e-mail solicitation strategies and focus on strategically expanding the Everstand’s annual giving program with a goal of significantly increasing the base of annual gifts. Fast paced and highly variable, this role is best suited for an individual with deft interpersonal skills and collaborative instincts, high adaptability and creativity, strong communicative abilities, and intellectual curiosity.

Essential Functions

  • Model and act in accordance with Everstand’s core values of safety, empathy, relationships, and impact.

  • In partnership with the Senior Director of Advancement, plan and implement all aspects of Everstand’s annual giving program. Responsible for the creation and routine updating of project plans, as well as providing status updates to key stakeholders on a defined frequency.
  • Design and manage a comprehensive direct mail and online giving program to include quarterly appeals. Coordinate with Development Associate to deploy fundraising e-mails via Raiser’s Edge.
  • In collaboration with the Volunteer/Community Engagement Coordinator, oversee the annual Red Stocking and Christmas Offering campaign with churches, church groups, and community partners.
  • Perform post-appeal analyses to refine and increase ROI in the future.
  • Support the Advancement services team on the preparation of correspondence for annual giving donors, including solicitations, pledge confirmations, and timely gift acknowledgments.
  • Assist Senior Director of Advancement in arranging conduct and coordinating face-to-face meetings with existing and prospective annual donors. Give campus tours and community presentations, as needed.
  • Plan and manage stewardship and recognition activities for annual giving donors. These may include but are not limited to creating a new donor welcome package or creating annual giving societies.
  • Assist the Senior Director of Marketing and Development in implementing strategies to upgrade existing annual donors to major and/or planned gift donors as part of the Advancement Team’s moves management program.
  • Manage a portfolio of ~50 mid-range annual giving prospects ($500 - $1,000), cultivating renewals and upgrades through a schedule of strategic engagement to include personal phone calls, e-mails, and handwritten notes.
  • Develop coordinated communication and solicitation strategies involving mail, direct mail, email, phone, face-to-face visits (Senior Director of Advancement and President/CEO to conduct these types of visits), and fundraising volunteers.
  • Submit budgets for annual giving activities, including but not limited to mail house services, postage, subscriptions, etc. Log all invoices for annual giving using the team’s defined workflow.
  • Work with the Senior Director of Advancement to establish revenue goals for the fiscal year and key annual giving activities.
  • Collaborate with the Senior Director of Advancement to establish donor acquisition, retention, and renewal benchmarks, as well as regular reporting processes to measure the results of all annual giving activities.
  • Work effectively with other members of the frontline fundraising team to identify new donors and build strategies for engaging and encouraging donors to give at higher levels.
  • Work closely with Volunteer/ Community Engagement Manager to implement a program to engage volunteers in becoming supporters of the annual giving campaign.
  • Implement donor retention and outreach techniques such as but not limited to LYBUNT/SYBUNT phone calls and follow-ups, gift anniversary reminders, messaging segmentation, in-person and virtual meetings, etc.
  • Participate in monthly pipeline meetings with a team of frontline fundraisers.
  • Assist with special projects and events, as needed.
  • Submit donor-centered news, events, and activities to the Marketing Team. Ensure the team has the schedule of key annual giving activities that require promotion on social and on BCC websites.
  • Periodically enter gifts in our CRM and send donor acknowledgement letters.

Non-Essential Functions

  • Partner with the President/CEO, Senior Director of Advancement to attain 100% participation among members of the Board of Directors annually (fiscal year).
  • Assist in building Everstand’s philanthropic case for support.
  • Support the creation of content for Everstand’s social media, website, and blog.
  • Build basic queries and run basic reports within Raiser’s Edge NXT.
  • Support a wide variety of events, including staff appreciation, client-facing events, signature events, and other fundraisers.
  • Support the Senior Director of Advancement on the implementation of team initiatives and KPI’s as they support the organization’s long-term strategy.
  • Participate in annual budget development process for the Advancement Team.
  • Participate, as requested, in accreditation efforts as well as other internal workgroups.
  • Assist in orienting new employees to Everstand as needed.

  • Possess a high degree of sound judgment and discretion when interacting with donors who support the agency’s mission-critical work.
  • Extraordinary attention to detail and ability to multi-task and balance projects at various stages simultaneously.
  • Skilled writer with the ability to synthesize organizational needs in inspiring and motivational ways. Understanding of strengths-based and donor-centered language a plus.
  • Strong communication, follow-up, and interpersonal skills.
  • Ability to meet deadlines, establish priorities, set objectives, and achieve goals.
  • Ability to strategically solve problems, implement creative solutions, and be flexible in the process.
  • Comfortable interacting with prospects and donors one-on-one and in small group settings, as well as addressing larger groups at events and other gatherings.
  • Possess a strong work ethic, positive attitude, and passion for playing a role in fulfilling the organization's mission.
  • Goal-oriented with the ability to work independently and as part of a team.
  • Possess a general understanding of moves management concepts and ability to strategically implement relationship strengthening activities in support of the Major and Planned Giving programs, as well as Volunteer/Community Engagement.

Required Education and Experience

  • Bachelor’s Degree or equivalent.
  • 3+ years of relevant experience in non-profits and frontline fundraising.
  • At least one year of CRM experience, Raiser’s Edge NXT strongly preferred.
  • Computer literacy includes Microsoft Office Suite, Asana, Zoom, and Microsoft Teams.
  • Ability to pass a criminal background check.
  • Ability to demonstrate the possession of a valid driver’s license prior to employment and the ability to maintain the license and operate a motor vehicle thereafter.
  • Ability to pass CPS/UII background check both prior to employment and per the schedule outlined by HR thereafter.
  • Ability to pass a Tuberculosis Test both prior to employment and per the schedule outlined by HR thereafter.
  • Ability to pass a work-readiness physical performed by a certified medical professional both prior to employment and per the schedule outlined by HR thereafter.
  • Ability to pass a Federal and State Fingerprinting Background Check both prior to employment and per the schedule outlined by HR thereafter.
  • Ability to pass a drug screen via urinalysis both prior to employment and randomly thereafter.

Supervisory Responsibilities

  • No direct reports.
  • Training, supervision, and management of volunteers needed, on occasion.

Position Type/Hours

This is a full-time position based on our Baltimore Campus. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m. This position is eligible to participate in Everstand’s flex schedule policy, with once weekly telecommuting privileges, and is considered non-essential for any weather or other office closing events. Due to the nature of Development work, this position may sometimes require work outside normal business hours. Travel is required on at least a weekly basis. A company vehicle will be provided as needed.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, scanners, photocopiers, filing cabinets, and fax machines. Everstand is a live residential and educational environment. Therefore, employees may experience conditions in which challenging behavior can be exhibited by program participants. This may include but is not limited to physical agitation, physical violence, and/or emotional outbursts.
